Job Description

Position Summary

The Office 365 Specialist will oversee the administration, maintenance, and optimization of the organization's Microsoft 365 environment, including SharePoint, Exchange, Teams, and other Office 365 applications. This role combines technical expertise with business intelligence capabilities, leveraging tools like Power BI, Power Automate, and Power Apps to transform data and workflows into actionable insights while maintaining the security and performance of collaboration tools. The Office 365 Specialist will collaborate with cross-functional teams to ensure the organization maximizes the value of its Office 365 investment.

Essential Job Functions

Office 365 Administration

Manage and maintain the Office 365 environment, including user accounts, licenses, permissions, and policies.

Monitor and troubleshoot issues across Office 365 applications, ensuring minimal disruption.

Administer Microsoft Exchange, including mailbox configurations, email migrations, and security settings.

SharePoint and Collaboration Tools

Design, configure, and maintain SharePoint sites, workflows, and libraries to support team collaboration.

Support and enhance the use of Microsoft Teams, OneDrive, and other collaboration tools.

Provide training and support to end users to ensure effective adoption of Office 365 tools.

Business Intelligence and Reporting

Develop, maintain, and optimize dashboards and reports using Power BI.

Analyze data from Office 365 and other systems to generate insights that inform decision-making.

Translate business requirements into technical solutions for reporting and data visualization.

Power Platform Integration

Design and implement automated workflows using Power Automate to improve operational efficiency.

Develop low-code applications with Power Apps to support business processes and enhance user experiences.

Maintain and troubleshoot existing Power Platform solutions to ensure reliability and performance.

Security and Compliance

Ensure compliance with organizational and industry standards related to data security, privacy, and governance.

Manage multi-factor authentication (MFA), conditional access, and other security features within Office 365.

Collaborate with IT and cybersecurity teams to monitor and mitigate risks.

System Integration and Automation

Integrate third-party applications with Office 365 to streamline workflows.

Use PowerShell or other scripting tools to automate administrative tasks and improve efficiency.

Documentation and Continuous Improvement

Create and maintain documentation for processes, configurations, and user guides.

Stay informed on updates to Office 365 and Power Platform and recommend enhancements to optimize the platform.

Identify opportunities to improve workflows and systems using Office 365 tools.

Position Requirements

Education Requirements

Associate's degree in information technology, computer science, or a related field preferred.

Microsoft certifications such as Microsoft 365 Certified: Fundamentals, Power Platform Fundamentals, Teams Administrator Associate, Security, Compliance, and Identity Fundamentals or equivalent.

Experience and Skills

1-2 years of experience administering Office 365, including SharePoint and Exchange.

Proficiency in Power BI for data visualization and reporting.

Experience with Power Automate and Power Apps for workflow automation and application development.

Hands-on experience with Active Directory and Azure AD.

Familiarity with Office 365 integrations, security, and compliance features. Proven ability to manage multiple, time-sensitive projects and competing priorities simultaneously with minimal guidance and high attention to detail.

Strong knowledge of Office 365 applications, including SharePoint, Exchange, Teams, and Power Platform (Power Automate, Power Apps).

Experience with PowerShell scripting for task automation and administration.

Excellent analytical and problem-solving skills.

Strong communication and interpersonal skills to collaborate across teams.

Relationships

Reports to the Enterprise Applications Manager

Works closely with Enterprise Application team members to support operational needs.
