About the Position
The Executive Assistant is critical to the functions of the Foundation Team and is responsible for providing administrative support for the Foundation and assisting with daily operations. This person reports directly to the Director of Foundation Operations.
This position is located at Goodwin House Alexandria in Alexandria, Virginia.
The role is in person Monday-Friday 9am-5pm.
We offer a salary of $68k-$75k determined based on experience.
Job Duties
Executive & Board Support:
Serve as a key administrative partner to the Chief Philanthropy Officer, managing calendars, scheduling, and executive logistics.
Coordinate all Board of Directors and committee meetings in partnership with the Chief Philanthropy Officer, including scheduling, preparing agendas, compiling and distributing materials through BoardEffect, and documenting meeting minutes.
Act as the primary liaison between the Chief Philanthropy Officer and Board members, donors, and community stakeholders, ensuring timely, polished, and professional communication.
Draft, edit, and format external-facing correspondence, presentations and reports for the Chief Philanthropy Officer and other Foundation team members as needed.
Operations & Team Support:
Assist with coordination of cultivation and stewardship events, including tracking attendees, preparing briefing documents, and managing follow-up action items.
Submit and reconcile team credit card transactions, ensuring timely processing in accordance with finance procedures.
Oversee donation collection, distribution and filing, which includes collecting donations from multiple locations, scanning, and filing gift-related correspondence.
Print, mail and file donor acknowledgment letters, ensuring prompt and accurate recognition.
Submit daily gift deposits to the Finance office.
Support ongoing data projects including constituent updates, coding, and new contact entry.
Track and process staff support grant requests, including coordinating check requests and distributions with the Finance office.
Maintain team calendars and coordinate departmental mailings and supply needs.
Provide cross-functional administrative support for team meetings, special events, and time-sensitive projects.
Job Qualifications
Minimum qualifications include a high school diploma. College degree preferred.
Minimum five years experience as Executive/Administrative Assistant.
Must be able to quickly and accurately prepare documents, letters and other executive correspondence.
Excellent verbal and written communication skills.
Must be proficient with Microsoft Word and Excel and have basic skills using Power Point and Outlook.
Must possess ability to deal tactfully with others.
Maintain strict confidentiality and exercise sound judgment in handling sensitive information and executive communications.
