Who We Are Looking For:
The Project Manager, Engineering and Planning reports to the Senior Director of Facilities and Planning and coordinates across the Engineering and Planning departments for integration, collaboration and efficiency. This position works within the Engineering Department on prioritization, communication and coordination while also overseeing key capital projects. The Project Manager supports daily operations by assisting with scheduling, work orders, and budget tracking, while managing select capital projects from design to construction. Additionally, this role works to integrate sustainability practices across Zoo operations and projects, supporting energy efficiency and environmental impact reduction.
What You Will Do:
Administrative Support:
Perform administrative functions, manage schedules, and prioritize work tasks.
Ensure Preventive Maintenance Tasks (PM's) are being performed and physically audit work orders in the field.
Prepare correspondence, reports, and other written materials to key stakeholders across the Zoo.
Maintain paper and electronic records, answer phone calls, and distribute messages.
Coordinate meetings and other departmental arrangements.
Manage purchase requisitions and track department budgets.
Assist in the management of ADP labor reporting for the Engineering and Facilities departments. Project Management & Capital Projects:
Work in partnership with the Manager of Engineering on work order prioritization through tracking.
Establish a system for integrating work across capital projects.
Establish project scopes, budgets, and schedules for capital projects that reinforces long-term sustainability initiatives.
Track project expenditures and maintain financial records.
Enforce safety standards on construction projects and coordinate contractor work with the maintenance and operations teams to minimize disruption.
Organize and lead regular project meetings, preparing meeting minutes.
Ensure proper documentation for construction management, including permits and change orders.
Serve as the liaison between contractors, Zoo Staff, and consultants. Sustainability and Energy Initiatives:
Work with the Senior Director of Engineering and Planning on energy-saving initiatives and sustainability goals.
Incorporate sustainability into capital projects and help improve existing structures' environmental performance.
Track and report on key performance indicators related to the Zoo's sustainability efforts. Technical & Equipment Management:
Assist in daily management of the Zoo's CMMS system (Brightly), including user setup, training, and handling work orders, backend set up of preventive maintenance records and audit status in the field.
Assist in the zoos generator and fleet management by ensuring a ready state for all equipment. Collaboration & Cross-Departmental Support:
Act as a representative for the Engineering Department in meetings with other departments including: Animal, guest Engagement, Conservation Education, Events, Public Safety, and Grounds.
Assist in prioritizing project requests and overseeing outside professional services as needed.
Collaborate with the Risk Manager to address safety-related issues in facility operations.
Assist in inspections to ensure maintenance work adheres to safety and quality standards. Other Duties:
Assist in employee performance reviews and safety meetings.
Scan and catalog O&M manuals into the work order system.
Assist in evaluating maintenance work and ensuring proper material and labor use. What This Role Requires:
Educational Background:
High school diploma or equivalent required; Bachelor's Degree in Project Management, Engineering, Architecture, or related field preferred.
Professional registration in relevant fields is a plus. Experience:
Minimum of 2 years in project management or a similar administrative/engineering role.
Experience in sustainability practices or energy-efficient projects is desirable.
Strong background in Microsoft Office Suite (Word, Excel, Project) and database management. Skills:
Excellent organizational and time-management skills, with the ability to prioritize multiple tasks.
Strong communication skills, both written and verbal, with the ability to collaborate with a diverse team.
Ability to manage both long-term projects and day-to-day administrative responsibilities.
Capacity to work independently and demonstrate attention to detail and discretion with confidential information. Physical Requirements:
Ability to walk long distances and work outside in all weather conditions.
Must pass medical, drug screening, and background checks prior to starting work.
