JOB SUMMARY:
The Project Coordinator provides both Deltek Vantagepoint (Deltek) project coordination and administrative support for projects within the Buildings Group in a 75% (Deltek)/25% (Administration) split role. This position is responsible for maintaining accurate and up-to-date project budget, schedule and resource data in Deltek, generating project reports, and assisting Project Managers (PMs) with a variety of administrative tasks. The ideal candidate will be detail-oriented, technologically savvy, and comfortable juggling both software-based responsibilities and team coordination tasks.

ESSENTIAL FUNCTIONS:
Deltek Vantagepoint Project Coordination:
Set up and maintain project records in Deltek, including budgets, charge codes, schedules, and staffing plans.
Collaborate with Project Managers to ensure project plans, timelines, and resource allocations are accurate and updated regularly in Deltek.
Generate on-demand reports (e.g. labor utilization, project progress) using Deltek.
Coordinate and track Deltek-related workflows, such as approvals and resource planning processes.
Troubleshoot data discrepancies and help maintain the integrity of project information across the system.
K12 Administrative Support:
Prepare and track construction-related paperwork, including contracts, sub consulting agreements, pay applications, change orders, and allowances utilizing NewForma software.
Draft, edit, and format correspondence, meeting minutes, fee proposals, and reports using Microsoft Office.
Manage scheduling, meeting coordination, filing, scanning, and general administrative duties in support of the K12 project team.
Communicate effectively with both internal staff and external stakeholders to ensure project coordination tasks are completed on time.
Serve as a day-to-day resource for Project Managers needing administrative or reporting support.
ADDITIONAL RESPONSIBILITIES:
Provides general office support including answering phones, ordering and stocking office supplies, and assisting with shipping and receiving needs.
Accomplishes all other duties and tasks as appropriately assigned or requested.
EDUCATION & EXPERIENCE:
Associate degree in business administration or related field preferred.
Minimum 3 years of relevant administrative or project coordination experience, preferably in the A/E/C industry.
KNOWLEDGE, SKILLS & ABILITIES:
Proficiency with Deltek Vantagepoint or other A/E ERP systems strongly preferred.
Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
Familiarity with NewForma is a plus.
Strong organizational and project management skills with the ability to manage multiple priorities.
Excellent written and verbal communication skills.
Attention to detail, especially when entering or managing data.
Ability to work independently and collaboratively, meeting deadlines with minimal supervision.
Professional demeanor and ability to maintain confidentiality.
PAY RANGE: $25.00 - $32.00 per hour
