Office Services Senior Coordinator, Commencement and Special Events

President Commencement and Special Events Operations
Provide high level and professional front-line customer service, and administrative and fiscal support to the Commencement and Special Events team for the execution of commencement and events for the Office of the President; manages general office business functions, responsible for the reception and kitchen areas in the Office of Commencement and Special Events, making sure that both are tidy and acceptable for receiving guests to the office. Manages all student employees for office, including hiring, training and termination; enters all timekeeping and additional pay requests; travel, expenses requests and journal entries; serves as a PCard Manager for Commencement and Special Events; creates and maintains binders in order to track all commencement and events expenses; maintains files, both electronic and other, related to commencement and special events; maintains supply inventory and orders supplies; participates in completion of task checklists for commencement and events and ensures availability of materials and supplies; oversees the event response tracking system to ensure responses and other information are properly documented; creates documents and materials for events, including invitations, guest lists, attendee lists, name cards, etc.; manages multiple office email addresses and makes sure responses are timely, accurate and professional; answers phones when students are not available and assists with inquiries, serves as liaison to other offices and the general public by providing information about commencement and special events; acts as back-up for diploma processing in preparation for each commencement ceremony; acts as back-up for the duplicate diploma process; attends and staffs commencement rehearsals, ceremonies and other special events; provides website maintenance support; serves as office surplus coordinator and works on special assignments and projects as needed.
Required Qualifications:
Two (2) years of relevant office experience using computers to generate a variety of materials ranging from basic to complex, in office practices and procedures, and in customer service. Some evening and weekend work required; some light lifting.
Desired Qualifications:
Four to six (4-6) years of relevant office experience; strong computer skills for word processing, database management, and spreadsheet development; knowledge of Ohio State financial system and processes, including Workday financials; must have good interpersonal skills, and be skilled at detail work.
