What You’ll Do
The Project Administrator supports project teams by managing documentation, ensuring project organization, and facilitating communication between internal and external stakeholders. This role requires strong attention to detail, organizational skills, and the ability to prioritize tasks in a fast-paced environment.
Key Responsibilities:
Project Documentation & Organization:
Set up and maintain Construction Administration (CA) trackers with accurate project information.
Create and standardize project CA documents using templates, including:
Submittal Review cover sheets.
Pricing Review cover sheets.
Keep project folders and files organized, accessible, and up to date.
Review & Quality Assurance:
Review incoming and outgoing RFIs (Requests for Information) and Submittals for accuracy and completeness.
Ensure contractor change pricing backups are correct and accurate.
Review pay applications for compliance with contract terms and subcontractor accuracy.
Distribution & Logging:
Distribute incoming and outgoing RFIs and Submittals to appropriate parties promptly.
Create, distribute, and log ASIs (Architect’s Supplemental Instructions), PRs (Pricing Requests), CCDs (Construction Change Directives), and other required documents.
Task Prioritization & Communication:
Proactively prioritize tasks based on project needs and deadlines.
Serve as a reliable point of contact for tracking and disseminating project-related information.
Your Qualifications
Proven experience in project administration or a related field, preferably in construction, architecture, or engineering.
Strong organizational and multitasking skills with a keen attention to detail.
Excellent communication and interpersonal skills.
Proficiency in project management tools and Microsoft Office Suite.
Ability to work independently and as part of a collaborative team.
Preferred Qualifications:
Familiarity with construction or architectural processes and terminology.
Experience with RFIs, Submittals, and construction documentation workflows.
