Title: Mitigation Project Coordinator
Pay Range: $18.000 - $22.00/hour
Reports to: Emergency Services Department Manager / ESD Project Managers
Work Schedule: Monday-Friday 8am-5pm (this is not a remote position)
Position Overview
What does an Mitigation Project Coordinator at Paul Davis Do? Professionally and compassionately help property owners put their lives together after a flood, fire, or other life changing event. In this capacity you will be working alongside our Mitigation team in assisting in communicating with property owners, staff members, material providers, and subcontractors. In addition, you will help with project scheduling, follow-up, and managing the paperwork flow.
The Project Coordinator provides assistance to the Emergency Services Department by coordinating project activities related to mitigation and contents projects. Their main duties are to ensure the continuity and efficiency of each project from start to finish through clear communication to all parties involved. The Project Coordinator handles multiple projects within a fast-paced environment and is open to constant changes and challenges. The ideal candidate is a highly organized individual who can manage multiple projects at once in the absence of day-to-day guidance.
Responsibilities:
Organize and maintain Project Files (hard and soft copies)
Phone calls to schedule work and to follow work flow progress
Demonstrate patience and compassion with customers
Deliver necessary paperwork to customers, to administrative department and team
Professionally handle any complaints
Assist with scheduling of the job through final completion
Represent the Paul Davis principles of honesty and integrity
Prepare and/or edit internal scopes of work, estimates, budgets, letters, faxes, memos, and emails
Communicate with property owners/managers/tenants and insurance adjusters
Acts as a liaison between the customer and the Project Managers to ensure project success
Address questions/concerns throughout he project
Perform tasks required by the Project Managers in support of project needs
Be aware of all aspects of the scopes of work so proper assistance to the Project Manager can be provided
Responsible for tracking project changes and producing updated schedules
Review project information and compile schedules promptly
Tracks the progress of all new and ongoing projects and maintains up-to-date notes
Submit any required information to the client as directed by the Project Manager
Report to the Project Managers for all issues
Assist with reception relief as needed
Insure TPA compliance
Attend PAUL DAVIS training courses as required
Other duties as assigned
Qualifications and Required Skills
Minimum High School Diploma, Post-Secondary Preferred
Minimum 3+ years office based experience
Minimum 40+ wpm
Strong working knowledge of Microsoft computer software (e.g. Excel, Word, and Outlook)
Experience using office equipment (telephone, copiers, scanners, fax, printers, etc.)
Excellent communication skills (both written and verbal)
Strong aptitude to work within deadlines (both independently and as part of a team)
Integrity, honesty and responsibility with a desire to contribute to a team
Highly organized with attention to details
Knowledge of Xactimate and/or XactAnalysis preferred but not essential
Prior restoration experience and/or construction preferred, but not essential
