EXECUTIVE COORDINATOR AT PRIMEFLIGHT

The Executive Coordinator provides high-level support to the executive leadership team by managing calendars, coordinating travel and meetings, preparing documents, and handling confidential communications. This role serves as a key liaison between executives and stakeholders, ensuring smooth day-to-day operations, timely project execution, and professional handling of sensitive information.

RESPONSIBILITIES

Provide high-level administrative support to the company's executive leadership team

Manage complex calendars, schedules, and appointments for executives

Coordinate meetings, conferences, and travel arrangements, including itineraries and logistics

Prepare and organize documents, presentations, and reports for executive meetings

Act as a primary point of contact between executives and internal/external stakeholders

Screen and prioritize incoming emails, phone calls, and correspondence for executives

Assist in the preparation and tracking of budgets, expenses, and financial reports

Maintain confidential and sensitive information with utmost discretion

Manage and prioritize tasks and projects to ensure deadlines are met

Organize and maintain executive files, records, and documentation

Assist in the preparation and distribution of internal and external communications

Collaborate with other departments to gather information and facilitate cross-functional projects

Coordinate special events, team-building activities, and corporate functions on and off property

Manage office supplies, equipment, and inventory to ensure smooth operations

Handle executive requests and inquiries with professionalism and efficiency

Assist in the preparation and distribution of board meeting materials

Help executives stay organized and manage their daily tasks effectively

Act as a liaison between executives and their direct reports, facilitating communication

Provide backup support to other administrative staff as needed to ensure seamless operations

May be assigned other duties as required

QUALIFICATIONS

18 years of age or older

Eligible to work in the United States

Ability to work in office, onsite, Monday-Friday

Intermediate/Highly proficient Word, Excel, PowerPoint, Outlook

Ability to read, write, speak, and understand the English language, to include documents

Maintaining confidentiality and high level of attention to detail, required

Effectively communicate with colleagues and clients, both in-person and through electronic means

Pass a background check and drug screen

Must be flexible to work extended hours on occasion to support our field operations

PHYSICAL ACTIVITY/WORKING CONDITIONS MAY INCLUDE:

Specific vision abilities required for this job include: Close vision (clear vision at 20 inches or less); distance vision (clear vision at 20 feet or more); peripheral vision (ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point); depth perception (three-dimensional vision, ability to judge distances and spatial relationships); ability to adjust focus (ability to adjust the eye to bring an object into sharp focus)

The pay rate listed on this post is what the company reasonably expects to pay for this position. However, individual compensation may vary based on factors including qualifications, skills, competencies, education, and experience.
