About Us:

ODH is seeking an Administrative Professional 4 within the Bureau of Survey & Certification (BOSC). BOSC is responsible for conducting survey inspections to ensure health care providers and clinical laboratories are compliant with state and federal requirements. What You'll Do:

Work under the direction of the BOSC Bureau Chief.

Provide non-routine administrative support (e.g., independently formulate decisions &/or judgments involving non-legal interpretation of policies & procedures as they would apply to a given situation to resolve problems, prepare correspondence &/or reports, or to carry out other assignments).

Manage the day-to-day business function of the office & monitor the workflow (e.g., coordinates & ensures all routine deadlines are met in response to assignments, special projects, letters, & weekly reports).

Analyze and evaluate BOSC operating procedures and provide technical advice to the Bureau Chief on new and revised procedures.

Prepare for and attend meetings as requested (e.g., contact providers requesting agenda questions, prepare agenda).

Prioritize and distribute work to BOSC support staff and monitor work progress and production.

Update and implement record keeping procedures; following retention schedules for records.

Ensure information on BOSC website is correct and current.

Coordinate, prepare, and process out of state travel and travel budget (e.g., ensures hotel arrangements are made, compiles travel expenses on spreadsheet).

Handle preparations for BOSC conferences & meetings (e.g., ensures speakers are contacted, contracts, purchase orders, and conference registrations are processed, agenda and handouts are printed, evaluations summarized, and certificates are printed).

Help ensure coverage of BOSC’s main phone line; handle sensitive phone calls & forward calls to appropriate parties for response.

Respond to various inquiries from office staff (e.g., program supervisors, district office supervisors) by phone or in writing.

Order, mail, and track BOSC office supplies (e.g., equipment, business cards).

Assist training coordinator with new surveyor class orientation.

30 months experience or 30 months training in secretarial/administrative professional field.

OR

Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college AND 12 months experience in secretarial/administrative professional field.

OR

12 months experience as an Administrative Professional 2,16872.

-Or equivalent of Minimum Class Qualifications For Employment noted above.

ALL ANSWERS TO THE SUPPLEMENTAL QUESTIONS MUST BE SUPPORTED BY THE WORK EXPERIENCE/EDUCATION PROVIDED ON YOUR CIVIL SERVICE APPLICATION.

Unless required by legislation, the selected candidate will begin at Pay Grade 10, Step 1 of the Exempt Pay Range Schedule ($25.76 per hour), with an opportunity for pay increase after six months ($27.18) of satisfactory performance and then a yearly raise thereafter.
