The Intake Specialist serves as the first point of contact for processing referrals and service requests related to medical, behavioral health, and long-term care services. This role involves gathering detailed client and provider information, verifying insurance coverage, and coordinating communication with internal teams and external stakeholders. The ideal candidate is highly organized, detail-oriented, and skilled in customer service and healthcare administration. Must be a DC resident.
Responsibilities:
Receive and process incoming referrals via phone, email, fax, and web portals
Accurately enter client demographic, clinical, and service information into secure databases
Verify patient insurance coverage through online systems or direct communication with payers (e.g., Medicaid, Medicare, private insurers)
Document policy information including co-pays, deductibles, coverage limitations, and prior authorization requirements
Communicate clearly with providers, case managers, and clients regarding required documentation and next steps
Triage referrals appropriately and escalate urgent cases to clinical or supervisory staff
Collaborate with interdisciplinary teams to ensure timely response and resolution of service requests
Monitor and follow up on incomplete referrals or insurance verifications to ensure continuity of care
Maintain confidentiality and compliance with HIPAA and Comagine policies
Support quality improvement activities and participate in staff meetings and training sessions
Qualifications:
Must be a current resident of Washington, D.C.
High school diploma or GED required; Associate or Bachelor's degree preferred
1â 2 years of administrative or clinical intake experience in a healthcare or human services setting
Hands-on experience verifying insurance (Medicaid, Medicare, commercial)
Excellent attention to detail, organization, and documentation accuracy
Strong interpersonal and customer service skills; ability to interact professionally with diverse populations
Proficiency in Microsoft Office (Outlook, Word, Excel) and data entry systems
Familiarity with DC Medicaid and local healthcare provider networks
Experience with electronic health records (EHR) or case management software
Knowledge of HIPAA regulations and healthcare documentation standards
