Gold Investment Management Ltd. is a boutique portfolio management company located in downtown Edmonton. We are seeking a permanent, full-time Administration and Client Experience Associate to join our team.

Responsibilities will include:

Assisting in the creation, delivery, signing, and processing of account documents and agreements.

Scheduling appointments between portfolio managers and clients, while minding different time zones, staff availability, and conflicting meetings.

Performing electronic document maintenance and physical filing.

Maintaining client contact, communication, and investment information through various logs and databases.

Providing timely assistance and acting as a liaison between clients, referral partners, and financial institutions to ensure the smooth operation of accounts and requests.

Research credible sources to obtain necessary information for client inquiries.

Reception duties including answering calls and greeting clients and office visitors.

Performing other administrative duties and assisting with special projects as required.

Qualifications:

Minimum 5 years of experience in administration, ideally with involvement in financial services or investment management companies.

Formal education in office administration is an asset but is not required.

Supervisory experience an asset but not required.

Experience with Adobe and Microsoft Office Suite – must be comfortable using Microsoft Outlook, Word, and Excel.

Experience working with Dataphile or Ndex Systems is an asset.

Knowledge of various account types and features is desired (RRSP, LIRA, RRIF, LIF, TFSA, FHSA, RESP, RDSP, etc.).

Strong skills in problem solving and critical thinking.

Excellent communication skills, with friendly and professional writing style and telephone manner.

Strong time management skills, with the ability to prioritize and organize tasks.

Ability to deal with a fast-paced work environment and a high volume of emails and calls.

Strong attention to detail in all aspects of work.

Strong teamwork and interpersonal skills for communicating with colleagues, clients and stakeholders.

The ideal candidate will be a reliable, positive, and energetic professional, who is able to work cooperatively with our team, and independently if required. The candidate must be committed to client service and able to assist with day-to-day operational tasks and client requests, as well as follow up on ongoing projects over long periods of time. Applicants must be able to effectively communicate with and facilitate requests from a variety of stakeholders. Candidates should be excited to learn about the company and its operations as a whole, as many client requests and processes will involve collaborative work with staff members in other departments. The chosen applicant will be required to work from our office located in downtown Edmonton.
