Administrative Assistant

We are seeking a detail-oriented and organized Service and Installation Coordinator to manage and support the scheduling, coordination, and follow-up of service and installation activities. This role acts as a key liaison between customers, technicians, and internal departments to ensure high-quality service delivery and timely installations.

Key Responsibilities:

Coordinate and schedule service calls and installation projects.

Act as the primary point of contact for customers regarding service and installation inquiries.

Assign tasks to field technicians and ensure they are equipped with the necessary materials and information.

Track the status of ongoing jobs, ensuring timely completion and customer satisfaction.

Maintain accurate records of service requests, job progress, and installation documentation.

Communicate effectively with sales, warehouse, and technical teams to facilitate smooth operations.

Ensure compliance with company procedures, health and safety regulations, and industry standards.

Handle service and installation-related complaints and resolve issues in a professional manner.

Monitor and manage inventory required for service and installation work.

Prepare and review reports related to service and installation activities, performance metrics, and technician productivity.

Qualifications:

Proven experience in a coordination or administrative role, preferably in a service or installation environment.

Strong organizational and multitasking skills.

Excellent communication and interpersonal abilities.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and scheduling software.

Ability to work under pressure and manage changing priorities.

Familiarity with service management systems or CRM tools is a plus.

High school diploma or equivalent required; post-secondary education preferred.

Preferred Skills:

Technical background or understanding of the products/services being installed.

Experience in logistics or field service support.

Problem-solving mindset with attention to detail.
