NOTE: This position will be based out of our headquarters in Franklin, TN. and is on-site. While handling Personal Assistant duties some local travel is required.
What You’ll Do: The Executive Assistant will manage the end-to-end support of its Founder and Chief Executive Officer. This role is approximately 50% Executive Assistant and 50% Personal Assistant. We’re seeking the rare individual who likes and excels at both!
Executive Assistant:
Support the day-to-day needs of the CEO, and others as directed, including calendar, schedules, email, contact and time management.
Prepare and submit expense reports.
Make complex travel arrangements and prepare comprehensive itineraries for executive travel.
Execute and/or assist with events such as team meetings; coordinate details (including travel, meals, venues, and more).
Partner with key leaders on projects as needed (i.e. HR, Development, Marketing, and the Senior Leadership Team).
Deliver special projects upon request.
Anticipate needs of the CEO, plan ahead and be proactive to those needs including recommendations for efficiency, and step in to assist whenever possible.
Other duties as assigned and as needs arise.
Personal Assistant:
Coordinate schedules, help manage and work closely with the CEO’s household staff to seamlessly integrate home and office.
Scheduling and managing vendors for household needs, event assistance, and holiday decorating.
Make personal travel arrangements and prepare comprehensive itineraries for CEO and family.
Handle scheduling for all personal appointments.
Schedule and handle all vehicle maintenance, washing, tag renewal, etc.
Lead personal and home office organization projects.
Manage chef meal orders, pick up and deliver to residence. Keep CEO’s office stocked with drinks and snacks.
Other personal duties as assigned and as needs arise.
What you need to be great at:
7+ years experience supporting C-Level executive/s in fast-paced work and personal environments. Strongly prefer experience with direct support of an entrepreneur.
7+ years calendar management experience.
7+ years experience travel and itinerary planning, preparation and booking.
7+ years experience event planning, coordination, preparation, arranging and scheduling.
5+ years experience managing multiple residences.
5+ years experience with Project Management.
7+ years experience using forecasting and judgement, especially in regards to anticipation of needs and planning accordingly.
7+ years experience multitasking and managing projects through to completion with limited supervision and guidance.
7+ years experience with tactful gatekeeping and company/owner representation.
Advance Microsoft Office Skills (including Word, Excel, PowerPoint, and Outlook) required. Adobe Creative Suite (Photoshop and Illustrator) a real plus.
Working knowledge of web-based applications.
