Dynamic, growing Commercial Real Company in New York, NY has an opportunity for an Executive Assistant. If you are looking for a challenging and rewarding position, we want to hear from you.

The position will provide executive support for the President of Multifamily Debt & Structured Finance and several other executives.

The candidate should have a minimum of 2+ years of experience as an executive assistant. Must display a high level of professionalism in person and on the phone. Duties include:

Is responsible for heavy calendar management utilizing Microsoft Outlook; must be flexible with last-minute schedule changes and urgent meeting requests.

Calendar management - schedule and organize meetings, conference calls, agendas and appointments

Must be proficient in Excel, PowerPoint, Word, and Outlook at an advanced level

Book travel and process expense reimbursements

Prepare and edit correspondence, communications, presentations, and other documents

Arrange and coordinate meetings and events

Help manage the executives’ email inbox and escalate as needed

Serve as back up for invoice processing, company card relationship and other duties

Confidentiality is EXTREMELY important. Must handle confidential material in an extremely discreet and professional manner.

Works on special assignments that may be complex in nature where judgment and initiative are required in resolving problems and making recommendations

Record, transcribe and distribute minutes in meetings

Track closings and send “thank you” emails from the executive to borrowers

Meets designated deadlines and works effectively in a pressurized environment.

Must have a professional phone manner and be able to interact with staff and clients in a professional manner

Must be able to multi-task with little or no supervision

Be able to prioritize when working for more than one person

Have a “can-do” attitude. Be willing to do what it takes to get it done.

Requirements:

BA or BS degree

Ability to interface professionally with all levels of employees

Proficient in MS Office products, including Word, Excel, PowerPoint, and Outlook.

Exceptional organizational skills are necessary to succeed in this position.

Must be flexible and able to work extended hours.

Please note this is a required in-office position.

Qualified candidates must have strong communication, written, and verbal skills. Strong attention to detail, exceptional follow-thru skills, and the ability to work in a fast-paced environment are a must!
