Job Description Overview
The Student Services Secretary position is multi-faceted and encompasses services to the Special Education Department, Multilingual Department, and other duties at the District Office. Excellent interpersonal skills, organizational skills, and the ability to handle situations with the utmost of confidentiality are essential. The Student Services Secretary works with and supports administrators who are responsible for the aforementioned programs, and interacts with staff members from each of the programs.
Qualifications
High school diploma or equivalent
Excellent public relations skills and a commitment to serve the district's educational community in a patient, responsive, professional, and courteous manner
Effective written and verbal communication skills
Excellent knowledge of the English language, including but not limited to, the rules of grammar and correct spelling
Excellent organizational skills and ability to work in a self-directed manner, anticipate future deadlines, and manage projects and reports
Ability to maintain confidentiality in all matters associated with the position
Proficiency with Microsoft Word and Microsoft Excel, and Google Suites required
Ability to maintain confidentiality in all matters associated with the position
Preferred Qualifications
Bilingual in Spanish or Arabic
Previous experience working in a school setting performing secretarial duties
Experience working with student information systems
Duties and Responsibilities for the Special Education Department
Maintain accurate information regarding eligible students in special education programs, including amount of related services, accommodations, and projected reevaluation dates for each student.
Enter data in Student Database System, manage the computerized IEP Program, and maintains accurate class lists
Monitors state-required reporting requirements
Manage the attendance for out of district students
Arrange transportation for eligible special education students
Coordinate Medicaid Reimbursement Information
Coordinate with Medicaid providers and staff
Review student information for accuracy
Maintain records for students who are Medicaid eligible for fee for service
Coordinate Extended School Year Transportation for out of district students
Manage special education purchase orders
Coordinate transition meeting dates/invitations to staff and forward records to the various high schools
Send special education records to districts of transfer
Assume additional duties and responsibilities as assigned by the Director of Special Education
Duties and Responsibilities for the Multilingual Department
Distribute and maintain Home Language Surveys
Maintain accurate information of eligible students in multilingual programs and the required state data
Enter data in Skyward and maintain accurate lists of caseloads
Assist in processing orders, including the distribution and collection of ACCESS testing materials
Maintain ongoing communication with multilingual teachers
Schedule screening appointments for language screenings
Work with a translation company to schedule interpreters and/or written translations
Other duties as assigned by the Bilingual Director
Duties and Responsibilities at the District Office
Work as a member of the collaborative team at the District Office and assist other departments as needed to complete seasonal projects
Maintain the confidentiality of all District information
Observe and follow all District policies and procedures
Perform all duties and responsibilities as assigned by the Superintendent or designee
Physical Requirements
Work is performed while standing, sitting and/or walking
