We are looking for a detail-oriented and organized Receptionist to join our team on a contract basis in Odessa, Texas. In this role, you will serve as the first point of contact for clients and visitors, ensuring a welcoming and efficient front office experience. Your responsibilities will include handling communications, managing schedules, and maintaining accurate records.
Responsibilities:
• Greet visitors and clients warmly, directing them to the appropriate contacts or departments.
• Operate and manage a multi-line phone system, ensuring calls are answered promptly and professionally.
• Schedule and coordinate appointments while maintaining an organized calendar.
• Perform data entry tasks with accuracy and maintain up-to-date records.
• Handle email correspondence, responding to inquiries and forwarding messages as needed.
• Organize and maintain physical and digital files for easy retrieval and reference.
• Assist with general office tasks, ensuring a smooth flow of daily operations.
• Use Microsoft Office applications, including Word, Excel, and Outlook, for document creation and communication.
• Provide excellent customer service, addressing inquiries and resolving issues effectively.
• Collaborate with team members to support administrative needs and improve office efficiency.• Proven experience in a receptionist or similar administrative role.
• Proficiency in using a multi-line phone system.
• Strong customer service skills with the ability to handle inquiries professionally.
• Competence in data entry and maintaining accurate records.
• Familiarity with Microsoft Office Suite, including Word, Excel, and Outlook.
• Excellent interpersonal and communication skills, both written and verbal.
