Job Description

We are looking for an organized and personable Front Desk Coordinator to join our team on a contract basis in South Windsor, Connecticut. In this role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and detail-oriented environment while providing administrative support. This position requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently.

Responsibilities:

• Greet visitors and clients warmly, ensuring they feel welcomed and directed to the appropriate staff or location.

• Manage a multi-line phone system, answering and routing calls promptly and efficiently.

• Perform administrative tasks such as filing, data entry, and maintaining organized records.

• Coordinate concierge services, addressing customer inquiries and providing information about services.

• Utilize Microsoft Office tools, including Word, Excel, and Outlook, to create and manage documents, spreadsheets, and correspondence.

• Maintain the reception area, ensuring it is clean, organized, and fully stocked with necessary materials.

• Schedule appointments and meetings while managing calendars for staff as needed.

• Assist in compiling reports and handling confidential information with discretion.

• Provide exceptional customer service, addressing client needs and resolving issues efficiently.• Proven experience in administrative assistance or front desk coordination.

• Proficiency in Microsoft Word, Excel, and Outlook.

• Strong interpersonal skills and the ability to communicate effectively with clients and team members.

• Familiarity with operating a multi-line phone system.

• Excellent organizational skills and attention to detail.

• Ability to handle data entry tasks accurately and efficiently.

• Prior experience in customer service or concierge services is highly desirable.

• Capability to manage multiple tasks and prioritize responsibilities in a fast-paced environment.
