Salary: $51,433 to $64,291 (Final salary is based on a number of factors)
Position Summary: The Front Desk Receptionist/ Office Assistant will be the right hand of the office and the first point of contact for the organization. Their energy and demeanor will set the tone for visitors and employees alike, as they play a crucial role in daily office matters.
Responsibilities and Duties:
Standard receptionist duties including, but not limited to, greeting visitors, answering the phone, redirecting calls as needed, receiving and delivering messages, scheduling and confirming appointments, maintaining office calendar, filing, receiving office packages and deliveries, and preparing outgoing mail (envelopes, packages, etc.).
Assist all departments in administrative support, not limited to: supporting mailing around development events, new membership and partnership mailings, organizing mailing lists, donor lists, organizing travel arrangements (including booking flights, accommodations, and creating itineraries).
Organize, maintain, and update records, files, documents, and spreadsheets as needed.
Operate office equipment such as printers, photocopiers, creating and posting truDigital TV messaging content, etc.
Maintain shared calendars and coordinate conference room scheduling.
Support meetings, special events and activities (internal and external), including space reservations, logistics, catering, etc.
Assist in onboarding new employees.
Create and process purchase orders for all departments.
Fill in for the Office Administrator when needed.
Qualifications:
1+years of relevant work experience.
Customer-service mindset who thrives on being the face of the office.
Strong verbal and written communication skills.
Computer savvy with proficiency in Microsoft Office Suite (particularly Excel, Outlook, and Word).
Strong attention to detail, organized, driven, dependable.
Able to work independently and take detailed directions.
Willing to learn new skills (including new software) and be receptive to feedback and change.
Comfortable juggling multiple tasks at once and able to prioritize to meet deadlines.
Solid understanding of project scheduling.
Must be able to commit to core hours of the organization- M-F 9 AM 5 PM
Makes being on time a priority.
