Position Summary:
We are seeking a detail-oriented and dependable Payroll Coordinator to process accurate and timely weekly payroll for a multi-site organization, including two unionized facilities. This position is solely responsible for the full-cycle payroll process, including timecard validation, deductions, union reporting, and compliance. The Payroll Specialist will play a critical role in maintaining payroll accuracy, ensuring legal compliance, and delivering high-quality service to employees.
Key Responsibilities:
Payroll Processing
Accurately process weekly payroll for all employees, including hourly, salaried, and unionized staff.
Review and audit timecards from multiple systems, ensuring proper approvals and compliance with labor laws.
Calculate and apply payroll adjustments such as overtime, bonuses, deductions, and retroactive payments.
Maintain payroll records and ensure correct setup of new hires, terminations, and status changes in the HRIS/payroll system (ADP Workforce Now).
Union Payroll & Reporting
Manage payroll for two union sites, ensuring proper application of union rules, pay scales, and benefits contributions, as well as non-union sites.
Prepare and submit weekly/monthly union reports and benefit remittances as required by collective bargaining agreements.
Serve as point of contact for union payroll inquiries and audits.
Compliance & Audit Support
Ensure payroll practices are compliant with federal, state, and local wage and hour laws.
Maintain accurate and organized payroll records for audit and reporting purposes.
Support year-end activities including W-2 processing, tax reconciliation, and internal/external audits.
Systems & Process Improvement
Work closely with the Benefits and HRIS Manager to maintain and troubleshoot ADP Workforce Now payroll configuration and integrations.
Identify and implement improvements in payroll processes to enhance accuracy, compliance, and efficiency.
Assist with testing system upgrades, new payroll features, or process changes.
Review and correct data integrity issues in ADP.
Qualifications:
5+ years of payroll experience, with responsibility for weekly payroll processing.
CPP or FPC certification.
Experience working with union payroll and related benefit/dues reporting.
Proficiency with ADP Workforce Now or similar payroll/HRIS platforms.
Knowledge of federal and state payroll laws, wage and hour compliance, and tax regulations.
Strong attention to detail and ability to manage high-volume transactions accurately.
Excellent communication and interpersonal skills for cross-department collaboration.
Preferred Attributes:
Experience in a manufacturing or multi-state environment.
High level of discretion with confidential employee information.
Self-motivated and able to work independently to meet deadlines.
