Sales Administrator

Supervisor: SVP, Sales & Development

Classification: Full-time, exempt

The Sales Administrator plays a critical role in supporting the Sales team, and interacting with other internal departments including Contracts, Estimating, and Preconstruction. This role involves a core function of managing the hand-off of design and construction agreements from Sales to the Contracts team, and other support functions to support the Sales team and leadership.

PRIMARY RESPONSIBILITIES & DUTIES

Contract Hand-off Management (Approximately 50% of time spent on these duties)

Manage the hand-off of design and construction agreements from Sales to the Contracts team.

Own the process and inform stakeholders of the necessary prerequisites and inputs required to successfully hand-off a contract.

Review various types of agreements, including Design-Build subcontracts, Design Consulting Agreements, Purchase Orders (POs), and Service Agreements to understand the appropriate pathway for contract hand-off.

Collaborate with the Sales team, Estimating team, Pre-construction team and other internal stakeholders to collect and verify the necessary information to ensure a smooth contract hand-off.

Utilize the company's software systems to capture information, document appropriately, and administer workflow between departments. Sales Administration (Approximately 50% of time spent on these duties)

Update Salesforce software system with account and project level information.

Manage expense reports and receipt tracking.

Prepare reports, as needed to support the Sales team.

Monitor email boxes, calendars and Slack to assist the Sales team for various projects and tasks.

Identify and implement process improvements within the Sales team to enhance efficiency and accuracy. REQUIRED SKILLS & ABILITIES

Strong understanding of contract principles, and experience working with complex contract documents with technical subject matter.

Excellent written and verbal communication skills, with the ability to communicate effectively via email, Slack, and other communication tools.

Experience with Salesforce.

Proficiency in Microsoft Office Suite, including Outlook, Word (with tracked changes), and Excel.

Experience with contract management and collaboration tools, such as Adobe Acrobat, Google Drive.

Exceptional time-management and organizational skills, with the ability to handle multiple projects and deadlines.

Detail-oriented mindset, with a strong commitment to accuracy in reviewing, redlining, and maintaining records.

Ability to work independently and take initiative while collaborating effectively with internal teams.

Demonstrated integrity, tenacity, and a proactive approach to problem-solving in contract-related matters. Preferred but not required:

Background as a paralegal or contracts administrator

Experience with Ironclad Contract Management System.

Experience with Scoop Project Management Software.

Familiarity with the construction and/or solar construction industry is preferred but not required. TEAM CULTURE & VALUES

The starting annual base pay for this role is between USD $60K - $70K. The actual base is dependent upon many factors, such as: location, training, transferable skills, work experience, business needs and market demands. The base pay range is subject to change and may be modified in the future.
