We are currently seeking an Office Coordinator to join our team in Baytown, Texas. In this role, you will manage essential administrative functions, ensuring smooth office operations while supporting various departments. Reporting to the Operations Manager, this position requires exceptional organizational skills, attention to detail, and the ability to effectively handle multiple tasks in a dynamic environment.
PRINCIPAL FUNCTIONS & OBJECTIVES
Office Coordination: Serve as the primary point of contact for general office duties, including maintenance, mailing, supplies, equipment, bills, errands, and shopping.
Scheduling & Appointments: Schedule and organize meetings and appointments for internal teams and senior management.
Office Layout & Equipment: Organize the office layout, order stationery and equipment, and coordinate with the IT department for office equipment needs.
Facility Management: Liaise with facility management vendors, including cleaning, catering, and security services, to ensure smooth operations.
Repairs & Maintenance: Maintain office conditions and arrange necessary repairs to keep the workspace functional and presentable.
Invoicing & Payments: Ensure timely invoicing and payment processing for office-related expenses.
Operational Procedures: Oversee office operations and procedures, ensuring efficient workflows and adherence to company policies.
Administrative Support: Provide general administrative support to senior management as required.
Other Duties: Perform additional office management tasks as assigned by senior management.
Physical Requirements: This position may require prolonged sitting and standing, as well as occasional lifting of office supplies and equipment.
KEY SKILLS & EXPERIENCE
Education: Minimum High School diploma or equivalent required
Technical Proficiency: Proficient in Microsoft Office, including Outlook, Word, and Excel.
Time Management: Exceptional time management skills with the ability to manage multiple tasks and prioritize effectively.
Organizational Skills: Strong organizational skills with attention to detail and the ability to adapt to changing priorities.
Communication Skills: Excellent written and verbal communication skills.
Independent Work: Capable of working independently or as part of a team in a fast-paced environment.
