POSITION: Administrative Assistant I
Regular Full-Time
DEPARTMENT: Veteran Affairs Office
SALARY: Pay Grade 9 SEIU Bargaining Unit
Starting Rate $14.13/hr
HOURS: 8:30 am to 4:30 pm / Monday - Friday
1 Hour Unpaid Lunch / 35 Hours Per Week
BENEFITS: Health, Vision & Dental - First of month following date of hire
All Other Benefits - After 90 day probationary period

OVERALL OBJECTIVE OF THE JOB:
Under general direction, to assist with coordinating, administering, and providing a program of Veteran Services and benefits as provided by Federal, State and local agency monies and regulations: to counsel and advice veterans and dependents on their benefits; to perform complex office support work; and to do related work as required.
ESSENTIAL FUNCTIONS OF THE JOB:
1. Reviews and files federal, state and local benefit application.
2. Assists veterans/survivors in retrieval of records, information and completion of paperwork.
3. Interacts with federal, state and county agencies, veterans and their families and the public regarding matters pertaining to veteran's affairs
4. Maintains current knowledge of changes in laws and regulations affecting veterans' benefits.
5. Type notifications, requisitions and departmental documents as requested and proofreads for accuracy.
6. Maintains files and information on various cases and other needed files in department
7. Operates computer, copy machine and other office equipment as needed to perform essential functions of the job.
8. Assists in answering phones within department and directs calls to appropriate individuals.
9. Mails notifications and other necessary information to carry out departmental needs.
10. Assist public by greeting visitors or answering routine phone questions and directing individuals to proper locations or offices.
11. Prepares and distributes various department forms, licenses or other department documents as required.
12. Complies data within department necessary for completion of reports.
13. Calculates simple math and performs light bookkeeping duties; prepares reports as requested.
14. Attends TWV meetings, events and trainings as a team member or steering committee.
15. Keep current accreditation through Department of Veteran Affairs.
16. Other duties as assigned.
OTHER DUTIES OF THE JOB:
1. Order supplies form the purchasing department.
2. Attends County Veteran related events.
3. Preforms related work as required.
SUPERVISION RECEIVED:
Receives instruction and supervision with regard to daily work duties from Director of Veteran Affairs. Work performed is reviewed by the Director of Veteran Affairs.
SUPERVISION GIVEN:
None.
WORKING CONDITIONS:
1. Works indoors in adequate office space, lighting, ventilation and temperatures.
2. Normal exposure to noise and stress, but subject to frequent disruptions.
3. Normal exposure to indoor dust/dirt.
PHYSICAL/MENTAL CONDITIONS:
1. Must possess ability to record, convey and present information, explain procedures and follow instructions.
2. Must be able to sit for long periods throughout the workday, with intermittent
periods of standing and walking and occasional twisting, bending, stooping, reaching as necessary to carry out job duties.
3. Dexterity requirements range from coordinated movements of fingers/hands for
typing and computer, to simple dexterity of feet/legs; torso as necessary to carry out job duties.
4. Sedentary work, with occasional lifting/carrying of objects with a maximum
weight of ten pounds.
5. Must be able to pay close attention to detail and to concentrate on work.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
1. Must be able to speak and understand the English language in an understandable manner in order to carry out essential functions of the position.
2. Must possess good communication and interpersonal skills.
3. Must possess ability to function independently, have flexibility and the ability to work effectively with co-workers and the general public.
4. Must possess ability to maintain confidentiality in regard to County information and records.
5. Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed.
QUALIFICATIONS:
1. Education/Training-High school diploma or Associates Degree in Business.
2. Work Experience-3-5 years working experience in a professional office environment OR any equivalent combination of experience and/or training.
3. Basic Computer Skills - Proficient in Microsoft Office programs including Outlook and Word.
