Process Manager – Digital Operations & Efficiency
Location: Hybrid/Florida-Based Department: Operational Strategy & Process Innovation Full-Time
About the Role
We’re seeking a systems thinker and process improvement specialist to join our growing team as a Process Manager – Digital Operations & Efficiency. This newly created role will lead initiatives that enhance interdepartmental workflows, streamline operations, and align technology implementations with the strategic goals of Florida Agency Network (FAN) and its affiliates — including the advancement of Remote Online Notarization (RON), AI-driven automation, and paperless closing workflows.
You'll collaborate cross-functionally, applying frameworks like Lean Six Sigma, Kaizen, and Agile process design to support our transformation from traditional workflows to a tech-driven, scalable ecosystem.
Core Objectives
Process Improvement: Diagnose inefficiencies, map interdepartmental workflows, and drive improvements aligned with operational excellence goals.
Technology Review & Implementation: Evaluate current systems, identify gaps, and lead implementation of solutions that enhance scalability and efficiency.
Cross-Departmental Collaboration: Act as a bridge between back office, FAN Title entities, and third-party vendors to ensure seamless coordination.
Digital Transformation: Champion initiatives that expand our digital closing capabilities, payment methods and tech stack.
Culture of Continuous Improvement: Foster adoption of Kaizen and Lean principles across departments.
Key Responsibilities
Workflow Mapping & Optimization
Analyze and optimize handoffs between:
Backoffice Production FAN Title Entities
Departmental Processes FAN Operational Teams
Identify and remove friction points between teams to improve coordination and output quality.
Technology Evaluation & Implementation
Assess existing digital tools and integrations.
Evaluate alternative RON platforms and digital solutions for standardization and scalability.
Explore funds transfer options on modern payment rails
Collaborate with tech leads and the CTO to ensure alignment of tools with operational goals.
AI & Automation Strategy
Drive implementation of AI-supported automations (e.g., Areal automation, data ingestion, utility functions).
Recommend AI enhancements to accelerate turnaround time and reduce manual processes.
Kaizen & Efficiency Culture
Launch initiatives to embed Kaizen continuous improvement across teams.
Develop and track metrics for:
Turnaround time
Process cost reduction
User and customer satisfaction
Scalability & Operational Resilience
Build and maintain documentation for scalable processes.
Support cross-training to enhance team agility and knowledge transfer.
Identify opportunities for process automation and long-term infrastructure planning.
What We’re Looking For
3–5+ years of experience in process improvement, business analysis, or operational leadership roles.
Working knowledge of Lean Six Sigma, Kaizen, or similar methodologies.
Experience working in or supporting title insurance, real estate tech, or compliance-heavy industries (preferred).
Programming: Python and/or SQL Skills a plus
Familiarity with digital closing tools and trends (especially RON platforms).
Strong communication and cross-functional collaboration skills.
Tech curiosity and experience working alongside product, IT, or software implementation teams.
Bonus Points For
Certifications in Lean Six Sigma (Green or Black Belt), PMP, or related frameworks.
Experience with AI tools or low-code automation platforms (e.g., Zapier, Power Automate).
2+ years as a title processor or closer
Previous exposure to tools or software used in title production.
