Job Brief:
Our client is seeking a detail-oriented and organized Mail Processor to manage and streamline the flow of incoming mail across three business units within our company. This role is pivotal in ensuring that all mail, including sensitive documents and checks, is accurately sorted, processed, and directed to the appropriate departments. The ideal candidate will possess strong attention to detail and the ability to handle multiple tasks efficiently.
Responsibilities:
Mail Sorting and Distribution: Sort incoming mail and checks into designated tax-type bins based on internal guidelines. Discard mail that does not meet defined parameters and redirect non-compliance-related mail to the appropriate departments.
Document Scanning and Management: For sales and use tax mail: Scan necessary documents into a Google Drive folder for subsequent logging by internal teams.
For telecommunications mail: Scan documents to the designated triage email inbox. Organize Google Drive folders from Seattle into tax-type-specific subfolders.
Team Coordination: Identify Notice Team members responsible for logging notices and create alerts to assign these tasks accordingly.
Record Keeping: Catalog received mail into designated categories on a spreadsheet to classify mail type and volume, ensuring accurate record maintenance.
Requirements:
Education: High school diploma or equivalent.
Experience: Previous experience in mail processing, administrative support, or a related field is preferred.
Technical Skills:
Proficiency in using scanners and managing digital files.
Familiarity with Google Drive and spreadsheet applications.
Organizational Skills: Strong attention to detail with the ability to manage and prioritize multiple tasks.
Communication: Effective verbal and written communication skills.
Physical Requirements: Ability to handle physical tasks such as lifting mail bins and standing for extended periods.
