Position Summary

We are seeking a highly professional and experienced Senior Executive Assistant to support the Chief Regulatory Officer and the broader Research & Development (R&D) leadership team. The ideal candidate will be a proactive problem-solver with excellent communication and organizational skills who thrives in a dynamic, fast-paced environment.

Key Responsibilities

Serve as a trusted advisor and administrative partner to the Chief Regulatory Officer and R&D leadership team.

Manage complex calendars, resolving scheduling conflicts and prioritizing appointments.

Coordinate travel arrangements and be available to address last-minute changes or disruptions.

Prepare and process expense reports and ensure compliance with internal policies.

Build and maintain strong working relationships across internal teams and external partners.

Collaborate with cross-functional teams on special projects and executive presentations.

Assist with planning and logistics for executive, Board, and other high-level meetings.

Exercise a high degree of discretion and professionalism in handling confidential information.

Support the development of key documentation, including reports, presentations, and correspondence.

Organize on-site and off-site meetings and events, including vendor coordination and budget tracking.

Partner with Chiefs of Staff to support onboarding activities for new R&D and Clinical staff.

Maintain flexibility and adaptability in handling multiple projects with minimal oversight.

Qualifications

Bachelor’s degree required.

Minimum of 10 years of executive assistant experience, with at least 5 years supporting C-level leaders in the biopharmaceutical industry.

Proven ability to manage multiple priorities in a fast-moving environment.

Strong verbal and written communication skills.

High attention to detail and excellent judgment.

Collaborative and positive team player with a can-do attitude.
