Role Overview: We are seeking an Administrative Support Specialist to provide a wide variety of clerical and administrative support for Ohio Children’s Alliance and its programs. This position reports directly to the Senior Coordinator of Finance and Administration, and is responsible for balancing tasks for multiple teams, including maintaining internal and external Alliance communications, arranging calendars and meetings, and contributing to a comfortable and high-functioning office environment.
Key Responsibilities:
General administrative support: Oversee email and phone inboxes, maintain a tidy and welcoming office environment, and perform various clerical tasks such as filing, scanning, and sorting, etc.
General program support: Provide support as needed to the various programs at The Alliance, including managing online databases and procedures, inputting data, and participating in planning and new business development.
Meeting and Appointment Support: Set up meetings and appointments for The Alliance and its programs in-person, in Zoom, and in Microsoft Teams; draft and disseminate meeting minutes, and maintain storage of meeting slides, documents, and recordings.
Process management: Regularly create, utilize, and update process documentation, and seek out opportunities to streamline day-to-day tasks.
Communication: Facilitate communication with both internal and external audiences including sending all-staff messages, answering member questions, and directing incoming inquiries to the relevant departments.
Other duties as requested/assigned.
Position Type: Full-Time, Hybrid--Staff residing in the Columbus area will be expected to work in-office one day per week, and attend meetings and events as required by their position or requested by their supervisor. These meetings may be held anywhere in Ohio, typically in Columbus.

High school diploma and at least one year of office experience required
