We are seeking a skilled and experienced Senior Administrative Assistant supporting the Chairman of the Department of Radiology by managing a wide range of high-level administrative functions in a fast-paced, academic medical environment. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities with efficiency and professionalism.

Serving as a key liaison between the Chairman, internal stakeholders, and external partners, the Senior Administrative Assistant ensures seamless coordination of day-to-day operations, including calendar and travel management, meeting preparation, communication handling, and project coordination. The ideal candidate is proactive, resourceful, and capable of exercising sound judgment while handling confidential information.

Roles and Responsibilities:

• Executive Support: Serve as the primary point of contact for the Chairman, managing all administrative functions with professionalism and discretion. Anticipate needs and provide strategic calendar, communication, and workflow management.

• Calendar and Meeting Management: Manage a complex and ever-changing calendar, prioritizing competing demands. Schedule and coordinate high-level meetings with institutional leaders, faculty, external collaborators, and national organizations.

• Travel and Event Coordination: Arrange comprehensive domestic and international travel plans, conference registration, and logistics for speaking engagements. Process travel reimbursements in a timely and accurate manner.

• Document and Presentation Preparation: Draft, edit, and proofread correspondence, reports, and presentations. Prepare meeting materials, collect data, and coordinate with department teams to ensure accuracy and alignment with deadlines.

• Communication Liaison: Manage internal and external communications on behalf of the Chairman. Respond to inquiries, triage sensitive issues, and ensure prompt follow-up with appropriate stakeholders.

• Confidential Information Management: Handle confidential and strategic information with the utmost integrity. Support faculty reviews, credentialing, and academic matters requiring discretion.

• Project Coordination: Assist with special projects and initiatives led by the Chairman, including research collaborations, departmental reviews, strategic planning, and institutional reporting.

• Budget and Finance Support: Monitor departmental expenditures tied to the Chairman's office. Support budgeting processes, process invoices and reimbursements, and liaise with finance staff as needed.

• Team Collaboration: Partner with administrative colleagues across Radiology and the institution to ensure coordinated support. Provide guidance to junior staff as necessary.

EDUCATION/EXPERIENCE:

High school diploma or GED equivalent and four years administrative support experience in a professional setting. Associate's degree in Secretarial Science preferred.
