Salary: $20.00-$25.00/hr, DOE

Accounting Assistant

Summary:

As an Accounting Assistant, you will be responsible to support the full cycle of accounting operations in a fast-paced construction environment. This position is entry-level with a growth path, and is ideal for someone eager to gain hands-on experience in accounts payable, accounts receivable/collections, invoicing, and job costing.

Responsibilities:

1. Accounts Payable (A/P):

Receive, review, and enter vendor invoices into the accounting system.

Match invoices to purchase orders and job numbers.

Ensure accurate general ledger coding and job cost allocation.

Process check runs and ACH payments weekly or as needed.

Maintain A/P files and respond to vendor inquiries in a timely manner.

2. Accounts Receivable/Collections (A/R):

Generate customer invoices based on project milestones, T&M billing, or percent-complete.

Monitor aging reports and follow up on past-due accounts via email and phone.

Apply incoming payments to customer accounts.

Work with project managers to resolve billing disputes.

3. Job Costing:

Accurately assign costs to jobs from vendor invoices, POs, and timecards.

Review job cost reports for anomalies or missing entries.

Assist with monthly job cost reconciliations and support project cost forecasting.

4. General Accounting & Admin:

Enter and reconcile bank and credit card transactions.

Maintain accurate and organized accounting records and documentation.

Assist with month-end close procedures as directed.

Support annual audits or tax preparation as needed.

Perform administrative tasks as required by the accounting team.

5. Miscellaneous Tasks:

Perform other duties as assigned.

Qualifications:

High school diploma or equivalent; additional education Accounting, Finance, or related field (Bachelor's preferred).

1+ years of accounting or bookkeeping experience; construction industry a plus.

Basic understanding of GAAP and full-cycle accounting.

Familiarity with job costing and project-based accounting preferred.

Strong data entry skills and attention to detail.

Ability to handle sensitive and confidential information with discretion.

Proficiency in using Microsoft Office Suite and accounting software (QuickBooks, Outlook, Word, and Excel).

Excellent verbal and written communication skills.

Ability to multitask, prioritize, and meet deadlines.

Familiarity with basic office equipment and technology.

Reliable and adaptable, with the ability to work both independently and collaboratively.
