A leading venture capital firm is seeking an Executive Assistant to provide high-level administrative support to multiple senior executives. The ideal candidate is a proactive and detail-oriented professional with experience supporting multiple executives in fast-paced, high-stakes environments. Working in a hybrid capacity, the successful candidate will streamline executive workflows by coordinating schedules, supporting special projects, and ensuring seamless daily operations while maintaining confidentiality and fostering cross-functional communication.

Location: Austin, TX

Type of Position: Direct Hire

Responsibilities:

Oversee high-volume, complex calendar management across time zones, adapting quickly to changes and prioritizing efficiency for your team.

Coordinate extensive and complex travel arrangements (domestic and international) including flights, hotels, meals, car service, international visas, itineraries, etc.

Support the Investor Relations team in ongoing fundraising initiatives, including high-volume LP outreach (tracking ~100 active outreach emails at a time), cross-functional meeting coordination, and strategic alignment across internal teams.

Partner with Marketing to plan and execute high-impact events such as LP dinners, investor breakfasts, and virtual webinars.

Oversee a dedicated Monday.com board to evaluate and track potential speaking and conference opportunities.

Prepare and submit expense reports in an accurate and timely manner in Expensify.

Greet and seat visitors, set up/break down conference rooms for meetings, and ensure a positive experience for all office guests.

Serve as an active member of the EA team, helping other team members as needed.

Serve as a backup point of contact for office vendors, such as maintenance, mailing, supplies, and equipment repair.

Monitor office machines and/or systems, and problem-solve issues as needed, including copiers, mail sorting, and conference room scheduling.

Maintain and monitor office supply inventory, ensuring essential items are stocked and special staff requests are fulfilled promptly.

Maintain responsibility for general office upkeep and “look and feel,” including keeping kitchen and supply areas stocked, clean, and functional.

Provide event support and planning as needed, including retreats, meetings, staff events for the broader organization. This includes logistical research and planning, day-of support, and invoice/billing management.

Support other functional areas and firm leadership with special projects as needed.

Requirements:

Minimum of 5 years of administrative experience supporting multiple executives

Prior experience in venture capital, finance, or investor relations strongly preferred

Willingness to flex weekly in-office schedule to align with Partnersâ in-office days, as needed

Comfortable with significant virtual and in-person interaction with C-Suite executives on behalf of the IR team

Experience booking and managing complex travel itineraries for multiple executives

Strong technical skills with advanced proficiency in Microsoft Outlook

Familiarity with tools such as CRM systems (e.g., Affinity), Slack, and an eagerness to adopt AI and other productivity tools

Outstanding communication and interpersonal skills - professional, poised, articulate, and calm under pressure

Ability to multitask, process a high volume of email, and prioritize effectively with minimal supervision

Exceptionally organized, efficient, and detail oriented

Strategic problem solver with the ability to anticipate needs and proactively identify solutions

Fast learner with a consistent ability to perform at a high level in a dynamic, fast-paced environment

Strong team player with the ability to collaborate seamlessly across departments

Able to manage sensitive and confidential information with integrity

Experience with and passion for teamwork and cross-functional collaboration
