Job Description
Responsibilities:
Processes customer sales orders for spare parts and small machines accurately and efficiently, including order entry, warehouse release, shipment monitoring, billing verification, and issue resolution. Collaborates with Warehouse, Logistics, and Operations to ensure timely delivery.
Manages data entry of new warranty and service contracts in SAP CRM, ensuring accuracy of customer details, install base, coverage periods, covered items, service level agreements, and billing schedules.
Communicates order information to customers and Account Managers, and addresses routine inquiries regarding service contracts and orders.
Investigates, coordinates, and resolves issues related to orders and service contracts through cross-functional collaboration.
Coordinates with Finance and Accounting teams to resolve discrepancies and ensures accuracy across all credit, payment, billing, and return issues.
Assists with data input into Salesforce and other relevant systems.
Provides comprehensive reporting to external customers and internal business partners on orders, service contracts, shipments, backlogs, and returns.
Prepares customer quotes and contract documents upon request from internal stakeholders.
Ensures full compliance with all company and business policies related to sales order processing.
Provides support for customer projects and assists management and team members as needed.
Qualifications/Background Profile:
Must have exceptional customer service experience
Proficient in key operating and information systems (SAP, CRM, Salesforce).
Advanced proficiency in Microsoft Excel and Outlook, coupled with strong analytical skills.
Consistently deliver results through exceptional follow-through, time management, and strategic planning.
Excellent communication skills, effectively promoting ideas across all organizational levels.
Strong relationship management skills, fostering effective collaboration with management and staff across all levels.
Highly organized with exceptional prioritization and time management skills; adept at managing multiple assignments under pressure while consistently meeting deadlines and adapting to changing priorities in a team environment.
Must be able to pass a background check and drug screen.
