Job Summary:
We are seeking a detail-oriented and proactive Office Assistant to join our team. The ideal candidate will support various administrative tasks, assist with purchasing and inventory management, and ensure smooth office operations. This role is crucial in maintaining our productivity and contributing to the overall success of our organization.
Key Responsibilities:
Purchasing Support:
Manage the weekly consumable purchasing process by reviewing inventory levels and placing orders as needed. Utilize the Summit and Fresco Dashboard for tracking and managing purchasing activities and inventory status.
Inventory Management:
Monitor stock levels and coordinate the inventory replenishment process to ensure adequate supplies.
Maintain organized records of inventory shipments and quantities, keeping accurate logs for reference.
Order Entry:
Accurately enter orders into the system, ensuring timely processing and fulfillment.
Collaborate with relevant teams to resolve order discrepancies and provide updates on order status.
Shipping and Receiving: (Backup)
Assist with shipping and receiving of packages, ensuring accurate documentation and tracking.
Coordinate with vendors and transport companies as necessary to facilitate smooth operations.
Answering Phones:
Handle incoming phone calls, directing inquiries to appropriate departments or personnel.
Billing and Invoicing: (Backup)
Assist with billing processes, including invoice preparation and follow-up on payment status.
Ensure timely and accurate processing of financial documentation related to purchases and orders.
General Administrative Support:
Perform additional tasks as assigned by management, including filing, data entry, and office organization. Support team members with various administrative duties as needed to enhance office efficiency.
