Role Overview:
We are looking for an Associate – Academic Operations to join our Austin office. This role blends administrative, operational, and interpersonal responsibilities to ensure seamless day-to-day activities. The ideal candidate will possess strong organizational capabilities alongside exceptional communication skills—effectively counseling and interacting with candidates, partners, and internal stakeholders with empathy, professionalism, and cultural sensitivity.
Key Responsibilities:
Assist with daily operational and administrative activities, including scheduling meetings, preparing documents, managing communications, and maintaining organized files.
Serve as a primary point of contact for partner organizations and interactions with high stake candidates, ensuring timely follow-ups and proactive communication.
Coordinate internal processes such as onboarding logistics, coordination, and preparation of reports.
Maintain accurate records within internal databases and CRM platforms.
Collaborate closely with internal and global team members, effectively navigating multiple cultures and proactively managing across various time zones to ensure operational efficiency.
Qualifications & Requirements:
Bachelor's degree required; candidates with degrees in Education, Counseling, Psychology, or related fields (including M.Ed/Ed.M or similar degrees) are encouraged to apply.
1-5 years of relevant professional or internship experience; recent graduates are welcome.
Exceptional interpersonal and counseling skills with the ability to empathetically guide and interact with diverse candidates.
Ability to understand and effectively work with global cultures, proactively managing communications and work commitments across international time zones.
Strong organizational skills, attention to detail, and the ability to handle multiple responsibilities effectively.
Adaptably, curiosity and a genuine desire to learn and contribute
Open to wearing multiple hats and handling diverse tasks and projects.
Familiarity with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) required; experience with CRM or productivity tools (e.g., Zoho, Trello) is a plus.
Excellent verbal and written communication skills.
Ability to maintain confidentiality, demonstrate professionalism, and contribute positively to team culture.
Preferred Skills:
Previous experience in counseling, talent acquisition, academic admissions, or related fields involving direct candidate or client interaction.
Basic familiarity with data management and reporting tools.
