We are a professional staffing firm, working with organizations across the country to place exceptional candidates. Currently, we have a Billing Assistant opportunity with an award-winning luxury home builder that values innovation, craftsmanship, and a supportive, team-driven culture. This hybrid role (3 days onsite) provides a fantastic chance to support a fast-paced Architectural Product Development team and grow your administrative career in a creative and professional environment.

The Billing Assistant is responsible for the specific duties listed below.

Your specific duties will include:

Billing Entry, Billing Support, and Billing Reporting:

Create and manage billing records using Deltek, Arch Online, and Excel.

Perform daily data entry for billing tasks related to production and design.

Process billing closeouts and monitor task completion for deactivation.

Handle miscellaneous expense entries from weekly invoice batches.

Communication and Collaboration:

Engage in constant communication across different roles on the Architecture Product Development Team.

Act as a point of contact for fee sheet revisions and work order processing using Outlook, DocuSign, and Arch Online.

Reporting and Scheduling:

Manage team schedules, project timelines, staff availability, and events.

Assist with reporting and project tracking as needed.

Administrative Operations:

Prepare and edit letters and internal communications.

Submit and audit monthly expense reports using Concur.

Follow detailed workflows, maintain templates, and manage multiple software tools.

Specific qualifications for the position include:

Essential:

2+ years of administrative assistant experience.

Proficiency with Deltek - MUST

Experience with Excel, DocuSign, and working with PDF formats - MUST

Preferred:

Associate’s or Bachelor’s degree in Accounting, Communications, Business Management, or a related field (preferred but not required).

Pay Rate Range: $25.00 per hour.

Compensation may vary outside of this range depending on a number of factors, including a candidate’s qualifications, skills, competencies, and experience, and location. Employees have access to healthcare benefits, including medical, dental, and vision, as well as a 401(k) plan.
