Position Overview
We are seeking a highly organized and proactive Project Coordinator to support both our design and construction teams. This hybrid role is ideal for someone who thrives in a dynamic environment and wants exposure to all phases of custom residential projects from concept through construction closeout. Youll work closely with Project Managers, Designers, and Construction Superintendents to help keep projects running smoothly and ensure seamless communication between departments and clients.
This position is also a great fit for professionals reentering the workforce, including those with prior corporate or project management experience who are now looking to apply their skills in a creative, fast-paced environment.
Key Responsibilities
Design Team Support
Track client decisions, selections, and approvals across architecture and interior design
Organize and maintain FF&E schedules and finish logs
Coordinate with vendors, consultants, and fabricators for samples and lead times
Help prepare presentation materials (e.g., mood boards, spec sheets, renderings)
Maintain drawing and revision logs; ensure documentation is current and accessible
Construction Team Support
Assist with updating project schedules, daily logs, and tasks in Buildertrend
Create and manage change orders, purchase orders, and RFIs
Track subcontractor COIs, compliance documentation, and invoice submissions
Support job site logistics including deliveries, inspections, and punch lists
Client & Internal Coordination
Attend internal and client meetings; take notes and assign follow-up tasks
Help manage weekly client update emails and day-to-day communication
Act as a liaison between the design studio and construction field teams
Qualifications
Bachelors degree in Architecture, Construction Management, Interior Design, Communications, or a related field
13 years of experience in a design, construction, administrative, or client-facing project role
Proficient with Google Workspace (Docs, Sheets, Slides); experience with Buildertrend is a plus but not required
Excellent organization, time management, and communication skills
Comfortable in both office and job site environments
Eager to learn and contribute in a collaborative, hands-on team
