Loaner Car Customer Service Agent

Position Summary:

We are seeking a detail-oriented and customer-focused Loaner Car Customer Service Agent to manage our dealership's courtesy transportation and loaner vehicle program. This position is responsible for coordinating the reservation, checkout, and return process of loaner vehicles, ensuring a seamless and professional experience for our service customers.

Key Responsibilities:

Greet service customers and explain loaner vehicle program procedures.

Schedule, assign, and dispatch loaner vehicles in accordance with dealership policies and availability.

Verify insurance, driver's license, and required documentation prior to vehicle release.

Complete loaner agreements and inspect vehicles before check-out and upon return.

Monitor loaner vehicle usage, due dates, and mileage to ensure timely returns.

Communicate with service advisors regarding vehicle return timing and availability.

Report vehicle damage, maintenance needs, or misuse to management.

Ensure the loaner fleet is clean, fueled, and ready for the next customer.

Maintain accurate records of vehicle usage, repairs, and customer agreements.

Assist with vehicle coordination, pick-up, or delivery as needed.

Physical Requirements:

Stand, walk, and move between indoor and outdoor areas frequently.

Lift up to 25 pounds occasionally.

Sit for extended periods while using a computer or handling paperwork.

Operate dealership vehicles, including entering/exiting vehicles multiple times daily.

Driving Requirements:

Valid driver's license with a clean driving record.

Ability to drive both automatic and manual transmission vehicles preferred.

Work Environment:

Combination of office and outdoor work; exposure to weather elements and dealership lot traffic.

Qualifications:

High school diploma or equivalent required.

Previous dealership or rental car experience is preferred.

Strong customer service and communication skills.

Highly organized and capable of multitasking in a fast-paced environment.

Basic computer skills and familiarity with dealership management software.

Professional demeanor and reliable attendance.
