Montgomery College is hiring a full-time Executive Associate II reporting to the Senior Vice President of Academic Affairs/College Provost (SVPAA/CP). The standard work schedule is Monday-Friday, 8:30 am – 5:00 pm. This is a non-bargaining, exempt, grade 27 position.

The Executive Associate II manages the daily functions of the Office of the SVPAA/CP by independently performing a variety of administrative duties requiring knowledge of a wide range of college processes, policies, and procedures.
The incumbent communicates well with others at all levels throughout the College including senior leaders as well as elected officials and their staff, external businesses and organizations to obtain and provide information, and to arrange appointments, meetings, events, travel, and schedules. Maintains, liaises with, and informs other parties of matters requiring their attention. Speaks for the supervisor on matters on which the supervisor’s views are known, or as otherwise authorized.
Duties include but are not limited to:
Serves as a confidential aide to the SVPAA/CP and initial point of contact for the office of the SVPAA/CP.
Acts as a liaison between the administrator and department/office staff, other College staff, outside organizations, and others.
Leads development and management of supervisor’s calendar based on evolving needs and the scheduling of conference space across College locations.
Maintains and updates tracking system for files, correspondence, or issues requiring immediate attention and follow-up.
Prepares contracts and monitors departmental accounts and unit budget/expenditures, including verifying invoices and reconciling purchase card statements for approval by the account manager.
Develops agendas, minutes, and supporting documentation for SVPAA/CP-led meetings
Serves as the core coordinator of the Office of SVPAA/CP activities to assure responsiveness, hospitality, and alignment with broader College functions.
Coordinates/completes year-end financial close out process.
Performs other duties as assigned.
Required Qualifications:
Associate’s degree in business administration or a related field;
Five years of increasingly responsible experience performing complex secretarial, technical and administrative work with at least three of those years in support of a leadership position that entailed office management, account management or budget preparation, and/or event coordination;
Experience in preparing comprehensive reports, documents, spreadsheets, projects, and presentations.
Skilled in professional writing and editing content for business documents and communications.
Proficient in using office technology and/or project management software.

The equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.
Hiring range: $63,375 - $82,376. Initial salary placement for new hires falls between the minimum and midpoint of the range and is based on relevant candidate experience and internal equity. The maximum annual salary for this position is $101,377.
