Position: Intermediate Secretary

Summary: To support the daily operation of the building while supporting the building leads. This position is 200 days per year and 3.5 hours per day, primarly covering the office during the time when full tme secretaries are at lunch. When other secretaries are out of the office for the day, this position may be asked to cover for the full day.

Reports to: Building Principal

Coordinates with: Principal, Assistant Principal, Dean of Students, and Secretaries

Duties and Responsibilities:

Student registration

Building budget

a. Purchases

b. Process reimbursements

c. Maintain records

RedRover (Substitute System)

a. Track/verify daily subs

b. Code jobs properly

c. Schedule subs for building events

Parent/Building Communications

Attendance

Truancy

a. Track and log truancy concerns

b. Work with Truancy Officer

Illness reporting to the Health Department

Payroll

a. Collect and verify extra duty payroll sheets

Lunch count

Distribute Mail

Health care

a. Assist with medication dispensing

b. General knowledge of how to handle:

i. Allergies

ii. Diabetic

iii. Seizures

iv. AED

v. CPR

iv. Concussion

Staff Injuries

Emergency Response Drills

a. Schedule building Emergency Response Drills dates

b. Provide information to staff

c. Report dates on school website

Website Maintenance

Liaison for Outreach Programs

a. Blessings in a Backpack

b. GL Shopping Tour

Building Calendar Management

CA-60 Management

a. Recording screening

b. Updating address

Filing

Required Skills/Abilities:

Must be confidential

Excellent verbal and written communication skills

Excellent interpersonal and customer service skills

Proficient in Microsoft Office Suite and Google

Excellent organizational skills and attention to detail

Ability to work independently Education and Experience:

Associates degree preferred

Two to three years of experience in an administrative role

Physical Demands:

While performing the duties of this position, the employee is regularly required to sit for long periods of time. The employee must occasionally lift and/or up to 25 pounds of files, paper, or other related equipment or supplies. Occasional stooping, bending, and reaching. Close vision is required to perform computer related tasks.

The employee shall remain free of any alcohol or non-prescribed controlled substance in the workplace throughout his/her employment in the District.
