Mission or Goal of Unit

The Department of Health Administration strives to create business-savvy leaders who are at the ground level of reimagining healthcare. To achieve this, the Department provides educational programs and services related to the organization and administration of health services. These exceptional programs provide high-quality education that leads to careers in the administration of healthcare institutions, agencies, and systems. The Department also offers advanced training and education for people who will teach, plan, evaluate, and investigate health care policies and medical care systems and provides assistance and services for community organizations and conducts health services and policy research.

Summary

The VCU Department of Health Administration invites candidates to apply for the Sr. Executive Administrative Assistant position. Reporting to the Manager of Career and Administrative Services, the Sr. Executive Administrative Assistant will support the Chair of the Health Administration Department.

Responsibilities

Provides executive assistant support to the Chair.

Establishes welcoming and positive atmosphere for and effectively manages systems and protocols in the Chair’s Office.

Acts as a liaison with college and university leadership, assisting in relationship building with various constituents and leadership offices; tracking, monitoring, and following the progress of projects, action items, and strategies that emanate from the Chair’s office; initiating subsequent follow-up meetings and communication for key stakeholders.

Serves as department receptionist: greets all visitors, answers and directs phone and email inquiries, responds to inquiries in a friendly and helpful manner, answers questions promptly and accurately.

Co-leads planning, communicating, and executing internal and external department events (lectures, annual alumni awards reception, alumni reunion, alumni receptions at national conferences, department graduation celebrations) in coordination with the Director of Outreach and Professional Affairs.

Manages logistics for events and meetings (internal and external), including compliance with all college and university level event paperwork, managing guest lists and RSVPs, space reservations, parking coordination, event registration, catering needs, volunteer management, etc.

Stays up-to-date on university systems and best practices as it relates to role responsibilities including procurement, travel booking, records management, space reservations, facilities and IT ticketing, etc.

Writes and disseminates various communications to external audiences, including posting on social media outlets.

Qualifications

Required Qualifications

Bachelor’s degree or equivalent combination of education and experience.

1-3 years of related experience providing administrative support or equivalent combination of experience, education and training.

Exceptional written, verbal and interpersonal communication skills, with the ability to communicate at all levels of the organization.

Proven proficiency in using spreadsheet, presentation, and design software including Excel, Canva, Powerpoint, etc.

Outstanding customer service skills and a high degree of professionalism.

Excellent independent problem solving and decision making skills.

Ability to multitask, be resourceful and creative, and have the ability to show individual initiative.

Demonstrated experience working with confidential information.

Demonstrated experience working in and fostering an environment of professionalism, respect, and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

3+ years of experience providing administrative support.

Previous work experience supporting leadership in an academic environment.

Previous work experience managing student workers and/or volunteers.

Proficiency using Google Suite (Docs, Sheets, Slides, Forms, etc.).

Knowledge of University policies and procedures and ability to provide accurate information in response to questions and inquiries.

Experience with Virginia Commonwealth University systems: RealSource, ChromeRiver, eServices, RADAR, T4, etc.

Artificial Intelligence (AI) is not to be used as part of the application submission or process.
