The JOB:
Sales Administrative Coordinator
The Sales Administrative Assistant is responsible for providing administrative sales and marketing support to the Area Director of Sales & Marketing, Area Director of Group Sales, Area Director of Catering and Conference Services – including Group Sales, Catering Sales, and Conference Services team.
Requirements
Responsible for scheduling appointments, meetings, and important follow-ups.
Provide calendar management and scheduling for the team.
Daily projects and responsibilities include, but are not limited to, anything from general business/company administrative support to providing media and sales support.
Maintain checkbook for sales expenses and create Purchase Orders.
Coordinate sales / catering / FAM events including invitations, location, times and RSVPs.
Handle all VIP requests, including amenity forms to support.
Collaborate with preferred partners on social media platforms, including Facebook, Instagram, LinkedIn, and hotel websites.
Assist with the completion of forms, letters, proposals, contracts, and overall necessary sales collateral.
Maintain sales, catering and marketing digital files.
Provide backup data entry for weekly, monthly reports utilizing Delphi, HMS-INFOR, SharePoint, ProfitSword, etc.
Attending meetings, taking, and distributing minutes.
Determine and maintain administrative filing system for internal office operations.
Assist with all aspects of the business providing admin support to the sales & marketing team and Executive Team leaders.
Liaising with vendors, clients, and staff, acting as first point of contact on behalf of organizational partners
Coordinates projects by capturing timelines and strategies and delivering progress updates.

You Own it if You HAVE:
Education and Experience
2 years’ experience in administrative assistance
Proficient in computer applications such as Excel, Word, Outlook and PowerPoint
Strong written and verbal communication skills
Hospitality background a plus
Physical Demands:
Remain in stationary position throughout work shift.
Ability to sit for long periods of time at a desk.
Mental Demands:
Read, write and speak English fluently.
Ability to communicate effectively with the public and other colleagues.
Impeccable work ethic and excellent organizational, time management, and communication skills
Attention to detail and proper phone etiquette.
Able to work independently and follow directives from leadership.
