Description
Only applicants with advanced knowledge of international ocean shipping with 2-5 years of experience in export documentation, specifically letter of credit experience, will be considered.
EXPORT DOCUMENTATION COORDINATOR
SUMMARY
Performs all duties of Export Document Specialist while assisting the Export Supervisor in departmental tasks to ensure efficient, service-oriented operations.

SUPERVISORY AUTHORITY
None
ESSENTIAL DUTIES AND RESPONSIBILITIES
Assist in the training of new documentation specialists while keeping the 101-training guide up to date.
Review LC Drafts/Shipping instructions and distribution of Original LCs/Amendments. Track amendments until LC is in order.
Maintain controlling orders and advise Export Supervisor if issues arise.
Maintain Controlling Vendor Rates.
Assist documentation specialists in prioritizing/maintaining workload.
Check documents daily.
Maintain and Advise payment to Export Department and Accounting. Advise Accounting of any fees that should be for buyer’s account at the time payment is received.
Update Traydstream and ensure Doc Specialist are reviewing for discrepancies.
Keep Buyer’s AR up to date, alerting management of any issues.
Maintain and send end of the day report and FTP.
Review discrepancy warnings to ensure they are being updated and maintained.
OTHER DUTIES
Cross-trains with Logistics Specialists.
Performs other job-related duties as assigned.
EQUIPMENT OPERATION
Personal Computer (esp. knowledge of Excel, Access and special EFS software programs) with I-Series access; 10-key desk calculator; FAX machines; copy machine; and other standard office equipment.
RELATIONS TO OTHERS
Works closely with others within department.
Works closely with Marketing, Accounting, and Information Technology Departments.
Interacts with agents and representatives of transportation vendors, banks, warehouses, controllers, freight forwarders, fumigators, USDA, U.S. Customs and third party vendors.
Supports the Export Supervisor as needed.
KNOWLEDGE AND SKILL REQUIREMENTS
Community College degree or equivalency including courses in business and accounting with experience in Export Documents.
Ability to perform duties and responsibilities of an Export Documentation Specialist
Ability to work in stressful situations and maintain exceptional attention to detail.
Ability to utilize basic cost/benefit analysis and make sound decisions that result in positive financial impact on the company.
Basic understanding of banking and accounting principles and procedures.
Ability to exercise independent judgement in matters which impact the organization's effectiveness and meet deadlines in a timely manner.
WORKING CONDITIONS
Environmentally controlled office.
Occasional overtime as work demand requires.
