Job Title Onboarding Specialist, Human Resources - Child Nutrition (Specially Funded) Evaluation Type Paraprofessional Department Human Resources Pay Grade P7 FLSA Non-Exempt Date Revised May 2025 Supervisor Director of Human Resources BASIC FUNCTION & RESPONSIBILITY: The primary function of the role is to facilitate the onboarding and processing of newly hired child nutrition employees in the organization.

This encompasses a spectrum of responsibilities to ensure a seamless and productive onboarding experience for all incoming staff members.

Key duties include offering comprehensive support and guidance to new hires throughout their onboarding journey, managing essential new hire forms and compliance requirements, and coordinating with different departments to facilitate smooth communication and collaboration during the onboarding process.

This position will assist in compliance with the job descriptions.

ENTRY QUALIFICATIONS: * High school diploma or equivalent.

* Three years of experience in clerical/administrative roles, preferably in a human resources or education setting.

* Two years of human resources experience is preferred.

KNOWLEDGE, SKILLS & ABILITIES: * Proficiency in Microsoft Office Suite (Word, Excel), Google, and HRIS platforms.

* Ability to maintain confidentiality and handle sensitive information with discretion.

* Flexibility to adapt to changing priorities and work in a fast-paced environment.

* Skill in using district computerized systems utilized in the human resources department.

* Skill in applying basic mathematics.

* Skill in communicating effectively verbally and in writing.

* Skill in operating standard computer and software applications, including but not limited to electronic mail, word processing, spreadsheets, databases, and presentations.

* Ability to organize and prioritize work responsibilities.

Support of Human Resources Functions: * Assist child nutrition new hires with completing required forms, documents, and other onboarding tasks through electronic systems.

* Coordinate employee transfers, terminations, and changes in assignment within HRIS and Child Nutrition systems.

* Serve as a point of contact for Child Nutrition staff with HR-related questions.

* Communicate effectively with new hires to provide guidance, answer questions, and address concerns related to the onboarding process.

* Process payroll forms for hourly employees.

* Maintain an onboarding database to ensure that employee information is accurate, current, and reliable.

* Research and maintain current information on child nutrition rules, requirements, and processes.

* Compile, maintain, and file all reports, records, and other documents as required.

* Prepare correspondence, forms, and reports according to district standards and requirements.

* Assist in the coordination of the employee performance appraisal system for Child Nutrition staff and ensure all supervisors meet requirements with appropriate documentation in the required timeline.

* Maintain active fingerprint subscriptions for all employees to receive criminal history notifications.

* Ensure all staff undergo appropriate background checks for the public education setting.

* Upload fingerprint information for new hires and unsubscribe departing employees.

* Oversee the distribution of reasonable assurance letters for child nutrition staff.

Process Improvement: * Suggest or support improvements to onboarding procedures to enhance efficiency and employee experience.

Professional Growth and Development: * Participate in professional development that increases effectiveness and improves District performance.

* Monitor and track required training (e.g., food handler certification, safety courses, etc.) for Child Nutrition staff.

School/Community Relations: * Foster positive interactions with employees and community members, serving as a knowledgeable resource and ambassador for the District.

Organization Morale: * Participate in team-building activities and the decision-making process as appropriate.

* Communicate and collaborate with campus/department staff to enhance services to ensure customer satisfaction.

Other Responsibilities: * Comply with policies established by federal and state law, including but not limited to State Board of Education, local Board policy, U.S.

Department of Agriculture (USDA), and the Texas Department of Agriculture (TDA). * Maintain confidentiality.

* Provide responsive and knowledgeable assistance to employees.

* Follow District safety protocols and emergency procedures.

* Perform other job-related duties as assigned.
