Description:
SUMMARY: The Executive Assistant is responsible for assisting Executive(s) and team with high-level administrative work, including highly confidential items, organizing meetings, documentation, schedule management, data reporting, phone, and department coverage. With primary support to the CFO & EVP.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Administrative Duties
Check Executives schedule for meetings/lunch plans
Log into Bank of America (Pcard) system and upload receipts and coding
Screens visitors, phone calls or physical mail
Schedules and confirms appointments
Maintains confidentiality of sensitive information
Coordinating business and personal trips, encompassing flights, hotel, auto rental and restaurants
Prepare emails, at executives’ request
Replenish office supplies for executives
Order and pick up lunch. When requested, make lunch and dinner reservations
Accommodate after 5:00 pm text requests
Prepares agendas or presentations, may take, transcribe, and distribute notes or minutes
Budget meeting scheduling
Filing and other administrative organization
Accounting/Finance Duties
Maintain Petty Cash and ensure compliance
Process daily in-house deposits
Administer various accounts (EZ Tag; Gas cards, etc)
Setup new AP vendors as requested
Various other accounting/finance projects as requestedRequirements:
EDUCATION AND REQUIRED EXPERIENCE:
High School diploma and 5+ years of related experience at a high level
A combination of business-related coursework and administrative experience can be submitted.
Some accounting and real estate background desired.
SKILLS, QUALIFICATIONS, AND OTHER REQUIREMENTS:
Ability to read, analyze, and interpret general technical procedures or governmental regulations.
Ability to write reports and business correspondence.
Ability to effectively present information and respond to questions from groups of managers and clients.
Must be able to understand and communicate effectively in English to tenants, vendors, clients and employees.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to solve problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, or schedule form.
Proficient in the use of personal computer and Microsoft applications including Outlook, Word, Excel, Power Point, and Adobe Acrobat.
PHYSICAL DEMANDS:
Requires sufficient personal mobility and physical reflexes, to permit the employee to function in a general office environment and accomplish tasks and duties at outlined above.
