We are seeking a detail-oriented and proactive Business Operations & Customer Accounts Specialist to support critical functions across accounts receivable, order management, claims resolution, and customer service. This cross-functional role is key to maintaining operational efficiency and ensuring a seamless customer experience from order placement to final payment. The position will be based in Bentonville, AR.
Key Responsibilities:
Accounts Receivable (A/R):
Monitor and manage accounts receivable aging reports and follow up on overdue invoices
Apply customer payments and reconcile discrepancies
Work closely with finance to resolve billing issues and ensure timely cash flow
Order Entry & Management:
Accurately enter sales orders into the ERP system and ensure data integrity
Communicate with warehouse and logistics teams to ensure on-time fulfillment
Track orders through the supply chain and proactively communicate delays or issues to customers
Claims & Disputes:
Investigate and resolve chargebacks, shortages, damages, and invoice discrepancies
Coordinate with sales, logistics, and finance teams to validate and respond to customer claims
Maintain clear documentation and escalate recurring issues for process improvement
Business Operations Support:
Assist in maintaining process documentation and workflow optimization
Analyze operational data to identify trends, delays, or inefficiencies
Support cross-functional projects aimed at improving internal systems and customer satisfaction
Customer Support:
Act as a primary point of contact for B2B customers regarding order status, billing questions, and account inquiries
Provide responsive and solutions-oriented support across phone, email, and ticketing systems
Build and maintain strong relationships with key customer accounts
Qualifications:
3+ years of experience in operations, A/R, customer service, or a similar role
Proficient in Microsoft Excel and ERP/accounting systems (e.g., NetSuite, SAP, QuickBooks)
Strong organizational skills with attention to detail and accuracy
Excellent written and verbal communication skills
Ability to prioritize and manage multiple responsibilities in a fast-paced environment
