Job Description Summary
The Business Office Manager is responsible for the day-to-day functions of the office in accordance with Luminary mission and values. The Business Office Manager will help lead the office as part of the management team and will ensure the office runs smoothly and quality service is delivered. The Business Office Manager will help create lasting impressions, build trust and loyalty with the hospice team, as well as the patients/families and referral sources that we serve.
Essential Job Functions/Responsibilities
Manages the intake/referral process for the hospice. Provides information about Luminary Hospice and provides education on the hospice benefit. Includes verifying insurance information.
Assist with ordering of patient equipment, medical supplies and office supplies.
Responsible for informing staff of changes and updates related to patient care including referrals, admissions, discharges, visits, schedules. Organizes and plans IDG meeting and workflow.
Supports contract management, including annual review of contracts.
Processes Accounts Payable/Receivable.
Organizes and manages census information and tracking.
Assist with the human resources functions, oversee full-cycle recruitment efforts for incoming talent, maintains HR files, tracks renewables, and supports the payroll function.
Maintains confidentiality of patient and employee information.
Maintains accurate up to date clinical records in accordance with state and federal regulations and Luminary Policy and Procedure.
Maintain office and computer equipment, as needed.
Answers and manages incoming calls with effective communication skills.
Supports the Administrator with Emergency Preparedness planning, activities, and education and helps to keep this plan updated.
Participates in ongoing Quality Assessment plan and process.
Welcomes and assists guests/visitors.
Manages incoming, outgoing and interoffice mail.
Ensures timely processing of physician orders, consent documents and patient forms within the EMR.
Supports and fosters an environment of support and positivity, staying focused on patient care and the best experience for all team members.
Performs other necessary functions/duties as assigned.
Position Qualifications
Demonstrates excellent written, verbal communication skills and strong interpersonal skills.
The ability to organize and prioritize many tasks effectively.
Proficient in MS Office applications and ability to learn department and job-specific software systems.
Demonstrates autonomy, assertiveness, flexibility, and cooperation in performing job responsibilities.
The ability to work collaboratively with other members of the team to provide excellent patient care.
Associate or bachelor's degree in business administration or related field, preferred.
At least one (1) year experience in health care management, preferred.
Experience in hospice care operations, preferred.
