We are seeking a highly organized, proactive, and detail-oriented individual to join our team as a Business Administrator/Special Projects Coordinator. This role is responsible for assisting with multi-state sales tax filings, annual report submissions, business licensing, and other administrative or regulatory tasks as assigned. Additionally, you will play a key role in supporting various special projects as assigned by senior management.
This is a part-time role (20 hours per week). The selected candidate will have a split of remote and in-office work.
Key Responsibilities:
Manage the application, renewal, and maintenance of business licenses and permits.
Coordinate the preparation and timely filing of annual reports for entities across multiple states.
Engage secretary of state to leave states as needed.
Research regulatory requirements and changes in applicable states.
Assist with preparing, filing, and reconciling multi-state sales and use tax returns.
Keep current on state wage laws and employment law (FL, TN, NY, MA)
Understand commercial insurance policies.
Perform general administrative duties and special projects as needed.
Understand sales and use tax laws for states we are working in.

Experience with RASI and requirements to register / unregister with Secretary of State (multi-state).
Experience in multi-state sales/use tax, business licensing, human resources, or a related field. Experience in multi-state employment law and/or commercial business insurance is a plus.
Strong organizational, time-management, and multitasking skills.
Strong problem-solving and critical-thinking abilities.
Excellent written and verbal communication abilities.
Ability to work independently and collaboratively in a fast-paced environment.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, etc.).
Familiarity with accounting software a plus.
Ability to handle sensitive and confidential information with discretion.
