POSITION: Front Desk Receptionist / Director of First Impressions

The Agency is assisting Royal LePage The Realty Group Property Management in the recruitment of a full-time Director of First Impressions to cover a maternity leave. JOB SUMMARY:
We are seeking a detail-oriented, organized, and personable Front Desk Receptionist to manage daily operations of the property management office. This pivotal role requires strong communication skills, multitasking abilities, and a professional demeanor, as you are the first point of contact for clients, tenants, and vendors.
RESPONSIBILITIES:
Warmly greet all visitors and callers, ensuring a positive first impression of our office
Answer and direct phone calls professionally, using proper scripts and procedures
Respond to email and social media inquiries promptly and accurately
Direct maintenance and rental inquiries to the appropriate department or online system
Open and close the office, including forwarding/unforwarding phones, preparing the cashdrawer, and ensuring all systems are operational
Maintain a clean, tidy, and organized reception area
Monitor office supplies, keeping inventory up to date and restocking as necessary
Process lease renewals, tenant paperwork, and property information with precision
Create and organize tenant and owner binders, ensuring all documentation is accurate
Handle payments, write receipts, and manage petty cash
File and manage tenant and owner records, following office protocols
Manage mail and dropbox items daily
Work closely with property managers, finance, and maintenance staff to address client and tenant needs.
Assist with preparing eviction notices, non-renewals, and other critical tenant communications
Support seasonal and special projects, including holiday gift campaigns and fundraising initiatives
REQUIREMENTS:
Minimum 2 years in reception, customer service, or administrative roles
Property management experience considered an asset
Strong organizational and multitasking abilities
Proficient in Microsoft Office Suite and Google Workspace
Excellent verbal and written communication skills
Ability to handle sensitive information with discretion and professionalism
Friendly, adaptable, and willing to learn in a fast-paced environment
