We’re looking for an Operations Manager to join our team and help oversee and optimize the operational functions within the company to help align Talent Acquisition efforts with production demands.

The Role

Working Hours: Mondays - Fridays,

6AM-3PM Central European Time

1PM-10PM Asia/Manila

11PM-8AM Central Standard Time

As our Operations Manager, the primary focus will be on liaising with all departments to effectively forecast, plan, and manage workforce requirements, ensuring the right staffing levels and talent pools are aligned with client demands and business growth. This role is key to ensuring operational efficiency, effective resource allocation, and seamless execution of recruitment processes.

Key Responsibilities

Forecasting & Capacity Planning: Lead the development of workforce planning models, ensuring the company can scale up or down based on client requirements, seasonal demands, and market trends.

Stakeholder Liaison: Collaborate with department heads (Sales, Talent Experience, Dev Ops, Design, Ops, Customer Experience, etc.) to align on staffing requirements and operational priorities.

Data Analysis & Reporting: Analyze workforce performance data, turnover rates, and demand forecasts to identify trends and improve resource allocation.

Process Improvement: Continuously evaluate and help the Talent Experience Manager refine recruitment and staffing processes to maximize productivity, minimize costs, and enhance the client experience.

Budget Management: Manage departmental budgets related to workforce management, ensuring efficient allocation of resources.

Compliance & Quality Control: Ensure that operational activities comply with legal, regulatory, and company standards, and that all staffing solutions are aligned with quality expectations.

Project Management: Lead cross-functional projects aimed at improving workforce efficiency, client satisfaction, and internal communication.

What We're Looking For

Must-Haves:

3-5 years in operations management or workforce management; proven experience managing and leading cross-functional teams in a fast-paced environment.

Workforce Planning Tools: Familiarity with tools/software like Workforce Software or similar capacity planning and scheduling platforms and/or strategies.

Data Analysis: Proficiency in Excel or similar data analysis software to track and report on key performance metrics (KPIs).

Project Management: Experience with project management tools such as Asana, Notion, Airtable.

Recruitment Systems: Knowledge of recruitment management systems (ATS).

ERP & CRM Systems: Experience with Enterprise Resource Planning (ERP) and/or Customer Relationship Management (CRM) systems (e.g., HubSpot).

Nice-to-Haves:

Demonstrable experience in recruitment operations or HR capacity planning is highly preferred.

Familiarity with operations and workflows in Digital Marketing agencies, Website Development & Design agencies, and/or similar Managed Services is highly desirable.
