The Clinic Manager/Administrator is responsible for overseeing both the operational and business aspects of the Miramar Location. This role requires close collaboration with clinic personnel and senior leadership to maintain high standards of patient care, compliance, and service quality. Additionally, the individual will contribute to the financial management of the clinic by actively participating in revenue cycle management, optimizing vendor and supply chains, and refining operational costs and processes, including workforce management. This position plays a vital role in supporting the organization’s financial, operational, and business objectives.
JOB SUMMARY
The Clinic Administrator must be knowledgeable, proficient, and adaptable in all aspects of administrative services essential for clinic operations. Responsibilities include, but are not limited to, medical coding, billing, clearinghouse functions, report generation, documentation, front desk reception, appointment scheduling optimization, and care coordination. This individual must have a solid understanding of the healthcare industry and local as well as broader community needs. They will lead by example, demonstrating exceptional initiative and a willingness to take on additional responsibilities as needed. Working across various departments, this person will enhance the patient experience throughout their healthcare journey.
KEY RESPONSIBILITIES
Assisting with the oversight of revenue-generating services, billing procedures, profitability, and ensuring contractual compliance for high-value claims.
Understanding patient and customer needs while providing exceptional service and continuously seeking ways to improve satisfaction.
Researching and implementing strategies to improve operational efficiency and establishing benchmarks to track progress.
Driving the achievement of both short- and long-term strategic and operational goals for the facility.
Optimizing staff schedules and resource allocation.
Developing and automating operational reports for better decision-making.
Ensuring compliance with healthcare privacy and security regulations at all times.
Conducting regular internal audits of clinical documentation to ensure adherence to contractual, regulatory, and billing standards.
Managing and resolving escalations and disputes both internally and externally.
Leading or assisting in staff training and performance evaluations.
Developing strategies for employee retention and service expansion.
Assisting in the creation, implementation, and enforcement of organizational policies and procedures.
Providing progress updates and reports to senior leadership.
Maintaining knowledge of office operations, including services and the use of relevant office systems and technology.
SUPERVISORY RESPONSIBILITIES
The Clinic Administrator assists in managing the Medical Billing Department and all administrative personnel. This position reports directly to the Vice President of Healthcare Services.
QUALIFICATIONS
A Bachelor’s degree is preferred.
A minimum of five (5) years of experience in the healthcare industry, with at least three (3) years in a management role.
Extensive knowledge of healthcare operations, including clinical procedures.
Proficiency in using electronic medical records (EMR) systems and Microsoft Office applications (Excel, Word, PowerPoint, Outlook).
Strong ability to train, supervise, and assess multiple employees.
Demonstrated skills in project management, cross-functional collaboration, and the ability to meet deadlines while working with diverse teams.
Ability to maintain strict confidentiality, exercise sound judgment, and effectively multitask in a dynamic environment.
WORK ENVIRONMENT
The center admin thrives in a fast-paced work setting. This position operates within a professional office environment and regularly involves the use of standard office equipment such as computers, telephones, copiers, filing systems, and fax machines. The role also requires frequent standing, walking, and extended periods of speaking and listening. Employees in this position may need to be on their feet for prolonged shifts.
