Position: Executive Assistant
Reporting To: Chief Operating Officer (COO) Location: Kinshasa, DRC Type: Full-Time
About the Role
We are seeking an enthusiastic and highly organized Executive Assistant to support our COO. The ideal candidate should have a natural curiosity for learning, a problem-solving mindset, and a drive to adapt to new challenges. The candidate needs to have at least a year of experience in a similar role. A background in data analysis is a plus but not essential. Key Responsibilities
Administrative Support
• Manage and optimize the COO’s schedule, including meetings, travel, and appointments.
• Prepare meeting agendas, take minutes, and ensure timely follow-up on action items.
• Handle correspondence and communications on behalf of the COO, ensuring accuracy and timeliness.
• Maintain and organize records, documents, and other critical files, ensuring easy access when required.
Communication and Coordination
• Serve as a liaison between the COO and internal/external stakeholders.
• Collaborate with cross-functional teams to facilitate smooth communication and operations.
• Draft, edit, and proofread reports, presentations, and emails.
Analytical and Problem-Solving Support
• Assist in gathering, analyzing, and presenting data for informed decision-making.
• Monitor progress on key projects and initiatives, identifying challenges and suggesting solutions.
• Address new and unexpected problems with a solutions-oriented mindset.
Continuous Improvement and Learning
• Stay updated on industry trends, tools, and techniques to enhance the COO’s office's efficiency.
• Demonstrate curiosity by researching new concepts, tools, or methods to support organizational goals.
• Proactively suggest improvements to workflows and administrative processes.
Qualifications
Education and Experience
• Bachelor’s degree in Business Administration, Management, or a related field is preferred.
• Minimum 1+ years of experience as an Executive Assistant or in a similar role.
• Data-related experience is a plus but not mandatory.
