Responsibilities:
· Welcome patients as they arrive at the clinic.
· Verify and update patient information, including contact details and
insurance information.
· Processing and mailing out confirmation letters.
· Follow-up on late cancellations and no-show services via phone and email
· Processing file information for upcoming assessments
· Address patient questions and concerns, providing information about clinic services, procedures, and staff.
· Assist patients with completing necessary forms and paperwork.
Take and relay messages accurately and promptly.
Manage and respond to emails and other electronic communications related to patient care and clinic operations.
Maintain and organize patient files and medical records, ensuring accuracy and confidentiality.
Assist with the entry and retrieval of patient information in electronic health record (EHR) systems.
Qualifications:
Excellent verbal and written communication skills
Outstanding interpersonal and customer service skills
Intermediate computer skills (Excel, Word), experience using Google Workstation a plus. Thrives when multi-tasking and working in a fast-paced environment.
Ability to work collaboratively within a team environment and independently.
Willingness to go beyond one’s own job description to assist the team as needed
Arrange and confirm appointments with patients, specialists, and other healthcare providers.
Handle incoming and outgoing correspondence (emails, letters, faxes)
Process and track billing, insurance claims, and patient payments.
Assist with budgeting and financial tracking as needed.
Manage petty cash and assist with financial record-keeping.
Verify patient information and update Clinical records.
Verify patient insurance information and process insurance claims.
Assist patients with billing questions and payment arrangements.
Protect patient confidentiality and handle sensitive information with discretion

Multi-tasking: Efficiently manage both administrative and medical reception duties.
Time Management: Prioritize tasks and manage workflow to ensure smooth office operations.
Customer Service: Provide excellent service to patients while balancing administrative tasks.
Professionalism: Maintain a professional demeanor and uphold the standards of Wellness clinic
Must have a Medical Receptionist background experience needed.
Must have Customer Service experience is a plus.
